WOW! Some companies' modified standard A/R Aging Reports were pulling from a Reports folder within MAS_System folder

  • 1.  WOW! Some companies' modified standard A/R Aging Reports were pulling from a Reports folder within MAS_System folder

I don't know how this is even possible, but a client's 6 out of 18 companies were pulling the modified standard A/R Aging from a Reports folder within the MAS_System folder, rather than the company-specific folders like the other 12 companies. Turns out it was like this in v2018 and working fine, but then it broke upon Upgrading to v2021. Has anyone ever heard of this?

This is probably not relevant to reports however I know that I made a note of this so I'd remember how a FORM change would impact different company codes

How to create and modify form codes or report settings in Sage 100

Yes, the paper type does matter, and can definitely cause this problem if the choice is not consistent.

Thanks, Wayne, that article does reference the MAS_System folder (below) as do these other two articles:
    - How to copy Form Codes and/or Report Settings by using Report Manager
    - Error: "This report must be converted to the latest version of Sage 100"

    Form code selection hierarchy:

Modified forms are selected first by company code. If a form does not exist at one level, the next level is used. If no modified forms exist, the standard form is used. Forms are selected in the following order (with examples):

    • ..\Mas90\MAS_xxx\Reports\<Form Name>\<Form Code>\<Filename.rpt>
      • ..\Mas90\MAS_ABC\Reports\SO_InvoicePrinting\Standard1\SO_Invoice3.rpt
    • ..\Mas90\MAS_xxx\Reports\<Filename.rpt>
      • ..\Mas90\MAS_ABC\Reports\SO_Invoice3.rpt
    • ..\Mas90\MAS_System\Reports\<Form Name>\<Form Code>\<Filename.rpt>
      • ..\Mas90\MAS_System\Reports\SO_InvoicePrinting\Standard1\SO_Invoice3.rpt
    • ..\Mas90\Reports\<Filename.rpt>
      • ..\Mas90\Reports\SO_Invoice3.rpt

@Jeff Schwenk, don't you use the System folder?? I believe he says that way, you only have to modify one form for all companies. AP checks, e.g.

It is my understanding that standard REPORTS can be modified but these modifications are company specific and would reside in the masxxx\reports folder.  If you want to modify FORMS, they can reside in the MAS_systems\reports folder (for all companies) or in the masxxx\reports folder for specific companies.  If you modify via report designer, they automatically reside in the masxxx\reports folder.  If you create via report manager for all companies, these will reside in MAS_systems\reports folder.  Creating them in the mas_system folder is quirky and works best when a new fresh install.  @Beth Bowers may have insight as well.

There are five places Sage looks for rpt's.
    • Company specific, form code specific
    • Company specific (when no form code specific file exists)
    • System, form code specific
    • System, when no form code specific file exists.
    • MAS90\Reports (which you never want to modify since they don't survive upgrades / PU's...).

Since @Jeff Schwenk taught me about MAS_System/Reports, I've tried to use them in cases where it made sense - usually AP and PR check forms.  I've also recently converted a client who has 3 different SO forms, several invoice forms, etc, in 4 different companies who wanted them to be identical (except for the logo, which I just made conditional based on the company code running it) to using the MAS_System\Reports folder instead of individual folders.

The worst part is when you have an end-user who likes to putter in the forms and will click on the Designer button, thereby creating a company-specific version and ignoring the MAS_System version.  Had to smack some hands a few times as we got used to the changes.

There is a Role permission for access to the Designer button, to stop those puttering fingers.

    An oldie but goodie(?)......

If you ever encounter a need to have more than 3 or 4 report templates to choose from, below is a way to create more.  Perhaps you want to create a bill of lading form to print from the packing sheet (shipping entry) entry.....

Adding new forms to report Templates

    1. In Windows Explorer make a copy of SO_SalesOrder2.rpt and rename it to SO_SalesOrder5.rpt open the report and change the text box to "Picking Sheet"
    2. Return to Data File Display and Maintenance and open mas_system\ SY_ReportManagerTemplate.M4T
      • Select S/O000SALESORDERPRINTING_UI.ORDER
      • Press the 'Edit' button and Select Field number '4 TemplateDesc$'
      • In the 'Change' field type "Picking Sheet" and click 'OK'
      • When prompted to 'Remove old key' press 'NO'.
      • Use the VCR buttons to click forward one record it should be the "picking sheet" record you just created.
      • Click the 'Edit' button and select "5 RPTName$"
      • In the Change field type SO_SalesOrder5.rpt
      • When prompted to 'Remove old key' press 'YES' (Note You may not get this second prompt).

Since rpt's in MAS90\Reports don;t survive an upgrade, could I copy a SO_GrossProfitJournal from MAS90\Reports to MAS90\MAS_System\reports, customize it and expect the customized version to always print?

It doesn't always work, but it wouldn't hurt to try.
For registers you have to modify the MAS90\Reports version (and save a "safe" copy, named differently, to have something that will not be overwritten by Sage installers).

@Kevin Moyes  That's exactly what I do now and if the format changes I have to migrate the formulas and re-do a lot of the customizations.  I was hoping there was a shortcut / migration process I was missing,

Those five locations apply to form codes / report settings.  Everything else, I think the options are limited.
Safest to redo the changes.  (We limit what we are willing to do for register modifications, like adding a UDF for display, to avoid major re-work like you describe).

I create a Reports/Standard Reports folder and when I modify a register, I put a copy in that folder.  It copies over on upgrades and I just have to remember to copy them back out over the new Reports version.

Copies can be in the Reports folder, as long as they are named appropriately.

I like @Beth Bowers method of creating a folder under reports.  You just copy the contents of the subfolder to the reports folder prior to running the mascrcw.exe update after migrating.  I keep customized reports in a BLSReports folder but invariably forget to move them.  Having a subfolder would be easier to remember.
