Why is Invoice data entry not telling us if there is not enough on hand when we are invoicing against a sales order. A new client just pointed out that when they invoice against an existing sales order, if they put a quantity in that exceeds the on hand quantity they do not get a warning. even with the ""check for available quantity"" check box is turned on in SO options. My initial testing confirms this. (I do get a warning if I'm doing a ""direct invoice"" but not when invoicing from an existing order. They do get the warning during sales order entry and this client sometimes ships stuff soon after it comes in the door, so they were expecting a warning in invoice data entry if the PO person had not yet done their ROG entry . I can write a script to check before they save the invoice during data entry, I just can't quite grasp why no other client has pointed this out in the 15+ years I've been doing this. Am I missing something?

Well wouldn't ""ON SO"" account for that?

I get that the available qty is already calculated when I entered the SO I guess that I thought that we would get a warning before shipping something that would cause a negative tier to be created. Overall I'm sure this is WAD, I suppose mostly I'm embarrassed that I never realized this is the way it worked.

This has always been touted as a feature which allows whoever is doing the invoicing to get their work done even if whoever is supposed to do ROG hasn't done their work yet. The presumption is invoicing is being done from a copy of the pick sheet or some other evidence the item actually shipped.

It kind of make sense. The logic would be inventory allocation would happen at Sales Order to the decision point to sell or push the order would happen there. Invoice - there really is not a decision point - we shipped it - so we should bill it. I assume the same would be true for credit checking as well.

When I was at Sage, there were plenty of people who complained about it. The setting only works in Sales Order Entry. We actually had someone complain about it yesterday and we were just discussing it. It would be nice if there were a setting that just didn't allow you to go negative on any item regardless of the valuation method. A lot of people would like that.

A setting to stop items from going negative is what this client is looking for; (along with many others) I thought I would appease them by showing them that it would at least warn them first, but that obviously was not what happened. We will script a warning for them instead.
