  • 1.  What Is Your Experience With Sage AP Automation ?

    I know the question of what people's experience is with AP Automation comes up frequently. I'm curious to get an updated read on the experiences you may have had as this seems to be one of the more active ISV integrations my customers pursue.

    I'm not sold they are buying it more actively - but I'm definitely seeing more interest ( tire kicking ?).


    If you have been involved with AP Automation ( Beanworks ) or have had a customer become involved - what has your experience been? 

    - Is the customer happy? Why or why not?
    - During negotiations - what type of fee concessions ( if any ) were offered?
    - Has the product met the stated capabilities? If not - where has it fallen short?
    - How is the implementation? The ongoing support?
    - How long from start to finish did it take to be live?

    We have one happy client - they are GLARAP only, no PO, have been using for well over a year, no issues that I know of.  Implementation and training seemed to go very well.  This was the first one and life seemed rosy at that point re APA.

    Second client has discontinued use and requested (and FINALLY received) credit for many months of "minimum subscription fee" when it was not working for them at all.  The installation didn't work, the client wanted to use it with PO and that integration did not appear to be working (at least not then), support seemed to be at a loss and trying to get them to work on it again was frustrating.  Based on that, I would be leery of working with APA.  (Oh, also lots of personnel changes during this YEAR that this was happening.)

    Two other clients using it and they seem to be happy with it, but they occasionally have glitches.  Invoices won't import, etc.  We direct them to APA for support, normally, although recently the error on one was obvious - their vendor was re-using their invoice numbers and had sent them the same invoice number as an invoice from 2014, and APA kicked that out.  Have not heard back that support sucks, so their issues must be getting resolved.  Based on these, I would give it a try, but not expect it to beat sliced bread.

    Going live was usually a couple of months, tops.  No fee concessions that I know of.  The thing I am curious about is whether the PO integration is working well.  ALSO, APA was talking about adding an employee expense add-on, but I don't see that this ever came to market.

    I have 2 clients using APA.  Overall, both are happy.  One has had 2 transactions that did not post to GL.  Support was not good for a while, however seems to be turning around.

    Thanks for the feedback!

    I sat through a demo today which looks good. For workflow/approvals with basic GL/AP ( No PO ) this seems like an inexpensive and faster implementation alternative to Altec.

    Customer brought up the promo from March 2020 which offered waived up front fee and one free month. They’ve offered to honor that provided the customer closes prior to 6/30.

    They have low volume AP and are hoping this replaces a person who just left.
