upgraded client from Sage 100 Version 4.5 Standard

    upgraded client from Sage 100 Version 4.5 Standard to v2015 SU2 several weeks ago. today one line one AR invoice won't post. Error account doesn't exist. In the AR_Invoice detail the GL account is the last account in the chart of accounts. The account has a balance in GL detail but does not exist in the GL_Account file. It validates in data entry but changes it in the data file itself. Do I add this account to GL_Account? If so any input regarding what's the easiest way to do this? Looks like there may be more than one account like this. TIA!

    Do the Account Keys match in GL_Accounts and AR_Invoice?

    Not sure what you mean. the sales account key in the invoice detail file is the last account in the GL account file and does not match the sale account when you look at the invoice line. the account that appears in the account line shows up in Account maintenance but not in GL_Account. Same things happens in GL general journal entry.

    it validates during data entry but fails when you print the sales journal.

    Okay. Did you look at the AR_InvoiceDetail file using DFDM to see if there was a bad or empty record that may be causing the error message? I've had this happen before.

    When I look in invoice detail with DFDM the sales account key is 8950, the last account in the GL. When I look at invoice data entry line I see account 4200. Account 4200 is shown in account maintenance but not the GL_Account file from DFDM. the same symptom occurs if I do a GL journal entry. Thanks for your help.

    Could this account be deleted from GL_Account during the upgrade?

    What you're seeing in DFDM in the AR_Invoice file is the 'key' which may or may not match the account number it's related to. You will need to look at GL_Account in DFDM to see the matching key record. Perhaps the key records don't match.

    I don't have access to the client's system right now but the keys must not match because the sales journal error is that account 4200 doesn't exist and it is true that account 4200 isn't in the GL-account file even though I can see it in GL account maintenance.

    In DFDM the GL_Account file, you need to change the key at the bottom to KAccount and look up 4200 from there.

    Thanks Beth. Using KAccount I see the account. AccountKey$ 95208002I Account$ 4200-120-00 RawAccount$ 420012000. Get error if try to use this account in AR that account doesn't exist when printing Sale Journal. How do I fix this? TIA

    Ok I'm sometimes slow to learn. Apparently having a different account key is not an issue. Client deleted the AR invoice we couldn't post yesterday. Entered a new invoice today and can't reproduce the error. Works fine. Thanks Bill and Beth for your help.

    Could they be using a Misc Item code that doesn't have one of the accounts setup in Misc Item Maintenance?

    Thanks Beth. I think you have the answer. When I logged into their system, the miscellaneous code was missing the account on two lines and I added them. I added the two accounts to the record in AR_InvoiceDetail but used the raw account instead of the account key. that's probably what caused the GL account error. thanks!
