TimeTrack records and moving them to history

    Hi
    Customer is on 2.20 payroll and imports time to TimeTrack.  All time goes into 1 company code for job cost purposes and gets updated to JC even though some of the employees belong to another company (but are setup in company 1 for JC purposes).  Time for Dept 01 gets brought into PR and updated to JC and then disappears from TT Entry.  Time for Dept 02 does not get brought into PR (gets exported and then imported to a 2nd company for payroll) but does get updated to JC.  
    Consequently Dept 02 Time does not move to TT History as the Payroll Posting Status is 'not transferred'

    The only way I can see to get this time moved to history and out of TT Entry is to export Dept 02 and Import back in setting the PR posting status to Updated.  That wouldn't be so bad but I had to the run *UTL to run a 'purge TT Entry'.  The description indicates it's for records updated but not purged prior to conversion.  That's not the case for this situation.  I ran it and it did remove the entries from the entry table and moved them to history but not happy with the process and showing a customer how to do this.

    is there an easier way that I'm not seeing?

    Have had 2 customers with large amount of TimeTrack records not having moved to history.  Worked with Sage on it, and the only method was manually setting the records so that they would move to history.

    Ugh!  'Manually' as in 1 by 1 going into the record in TT and pulldown the status and select Updated? Meaning importing set the value but they didn't move correct?

    Sadly, yes, that was the only way to move them to history.  If the users don't go into TimeTrack entry screen, perhaps they can leave them?

    You can import that updated flag so you don't have to change each one individually.

    I did that and sadly the entries don't move to history with an import.
    I had to use the purge utility which I'm not fond of.

    The field is PayrollUpdateStatus in the PR_TimeTrack table.  I export time track entries, delete the ones that really should be there so I'm not changing the flag on those and import back in with that flag set to U.  Then like Nancy said, you still have to run the purge utility.

    I’d have to look this up - and I may have posted about it for a somewhat similar case - I think Sage had me turn off integration to payroll and update somehow and all the entries that hadn’t integrated went to history.

    It even gave a message before doing so to make sure I wanted to.

    This was with a customer who upgraded and wasn’t using payroll ( only integrated to JC ) so had a ton of non integrated payroll.

    If this works they potentially could periodically turn off integration to move to history ?

    @Wayne Schulz is this what you are referring to?
    Uncheck Enable Time Track in PR Options, then yes to Continue? prompt. I have a client in the same situation, using Timetrack & Job Cost but not Payroll. If that works, that's a nice trick.

    I think so. My situation was a customer who integrated into PR only because they had to in order to get time into JC. But they didn't use Payroll. When we upgraded they had tons of un-integrated transactions we couldn't clear. My memory is removing that checkbox from the Payroll setup and then going and trying to pull or integrate the time track data popped up a message that the payroll items were all going to be marked as updated because integration to payroll had been turned off.

    Here's the thread. I believe my comment ( 20 ) in here is what I was advised by Sage to use as a resolution and it worked. I strongly suggest a test company first.

    I have this exact situation where a client only uses Time Track for Job Cost and not payroll. We wrote a script to automatically set the Payroll Updated flag to "Y" when they enter the lines. That works fine except when they need to go back in and make a change. Having the field set to updated locks the line. So we moved it to a button script that they mostly remember to click when they are done entering the employee.
