  • 1.  Time Card - TT Question - SAGE STD v2019 PU#4, PR 2.20, How to change TT JC flag to Updated?

    I upgraded from v2017 to v2019 PU#4, PR 2.20. In v2017 Client used Time Card, Payroll and Job Cost. Weekly they would "pull" time from Time Card entries into PR and process PR. They never "pulled" Time Card entries into Job Cost. The entries were not moved to Time Card History because the JC (posted) Status = NO and the PR (posted) Status = Updated. How can I easily change the JC Status from NO to Updated? I will need to change approximately 25,000 entry records.

    Assuming you're beyond being able to remigrate.  I exported the records, reimported setting the flag to U for updated.  Then in *Util there is a utility to move TT Records that are Updated for both payroll and timetrack to history.
    Going forward, I created a process to let the user export the records not updated to JC, import setting the flag to U and then running the utility.
    Kinda scary letting the client do this but can't be doing this weekly for them and they want the records removed after payroll.

    @Nancy Hanson - Thank You for your reply! I have a couple more questions:  

    Question 1)  I am NOT beyond re-migrating.  Is there a better/easier way to Purge/Move to Time Card History the 25,000 Time Card entries where JC Status = "NO" instead of "Updated" in v2017?  Or will I still need to use VI?  ​

    Question 2) Are you saying that this problem will exist in PR 2.2x even after I upgrade?  The JC Status field will need to be manually changed (via VI or a script) to "Update" so that the Time Track entries are automatically moved to Time Track History as part of monthly Period End Processing? 

    Question 3) Its been awhile since have used VI to change a field. Do I need to export all fields in the Time Card/TimeTrack entry table, change the JC Status field and then import all fields back in? Or do I just need to export the key fields and JC Status field, change JC Status field and re-import.  I want to avoid creating duplicate records (with a wrong key).

    Search TimeTrack flag - I had a very similar issue but the customer didn’t update payroll and wanted to purge a similar number of records. I did this as a one-time purge and I don’t know if this would work in your case. I’m on HL mobile now which is ( politely ) a horrific UI to try to search/link from or I could do a better job of pointing you to those posts.

    I think I found what I was looking for in v2017. There is a "Global Flag Change" Utility. See attached images. I should be able to change the flag in both PR and JC ​Time Card entries. Then I plan to run the Purge/Move to Time Card History function. I will post back my results.

    Where is the "Global Flag Change" utility in PR 2.2.x and Time Track?

    There is no Global Posting Flag Change in 2020.  That's why Nancy had to come with the work around for importing the flag updates.  I've done that too.

    Question 1)  I am NOT beyond re-migrating.  Is there a better/easier way to Purge/Move to Time Card History the 25,000 Time Card entries where JC Status = "NO" instead of "Updated" in v2017?  Or will I still need to use VI?      In 2017 as you found there is the Global Change Flag and as MaryJo indicated it's not available in 2020.  It is less clunky to do the update and purge/move to history in 2017.  Without doing it in 2017, all those records are going to end up in TT Entry and when the user enters time in 2020, all those records will populate each time they go in there and he/she will be cussing you and Sage 2020.

Or do I just need to export the key fields and JC Status field, change JC Status field and re-import.  I want to avoid creating duplicate records (with a wrong key).    Since this is an ongoing issue, I created a Crystal Report, have them export to csv and then import via VI.  I included my report and directions, however, keep in mind my customer was posting to JC but not to PR you'll need to review and change as necessary.
