    Events Committee Update: Thursday Night Beach Bonfire

    Hi everyone,

    I wanted to share a quick but important update as we move forward on one of our major conference experiences.

    We are officially securing the Thursday Night Beach Bonfire. I was able to negotiate the overall production cost down to $10,000 from the original $15,000, which is a significant win for the budget while still delivering a high-quality, professionally produced experience.

    I am currently working with an outside caterer to obtain a food quote. The concept we're exploring is tacos and/or "south of the border"–style food, which feels aligned with the beach setting and keeps the experience fun, approachable, and flexible. We will not be going through the hotel for food and beverage for this event, and that is intentional and acceptable given the nature of the venue and experience.

    The bonfire vendor will be incorporating some game elements, and I'd love the committee to begin thinking about additional game or activity ideas we could layer in ourselves that would work well on the beach and fit the tone-light, optional, social, and inclusive.

    The only remaining element I am confirming is alcohol service, including what is permitted and the best way to handle it safely and appropriately.

    Attached to this update are two sponsorship proposals covering:

    • Pickleball

    • Golf

    • The Thursday Night Bonfire

    Please review these and share any feedback by Monday, if possible. @Hillary Heath  I did ask Sage again for co-sponsorship on Golf and the bonfire - and will be pitching them next week. 

    I know we are moving quickly and decisively on this, but this event is shaping up to be our big moment-and potentially the highlight of the conference, weather permitting.

    Finally, I would like to add a standing agenda item for our next meeting to discuss a Plan B scenario:
    If weather forces us to move indoors, we'll outline how we pivot gracefully this year and plan to roll the bonfire experience forward to next year.

    In-N-Out's "Cookout Trucks" primarily serve meat-based burgers, but offer a "Grilled Cheese" for vegetarians, which is not vegan. Vegans can order a veggie-only burger (essentially a bun, veggies, and spread). Or for them then we can work with the hotel for vegans.
