Slow Performance generating Paperless PDFs

  • 1.  Slow Performance generating Paperless PDFs

    Morning all

I'm looking for feedback on Paperless Office PDF performance. It seems to me that it takes longer to complete the update process and save PDFs to paperless office in version 2018.

I recently completed an upgrade from 2013 SQL to 2018 SQL. Version 2018 was installed on a new server and all users received new Win 10 workstations. They're happy with everything else in the upgrade but the update and PDF process is causing much frustration. The process is significantly slower now.

Has anyone else come across this?

First comment: don't admit the problem is Sage 100.  New server and new workstations / version of Windows = a plethora of potential root causes for performance hits.

I agree with you Kevin on the root causes statement, however overall, there's an improvement with the new Server 2016 in place and new workstations. The only complaint they have is with the update to paperless office.

Yes, end users are reporting similar issues. One case, they are still on 2016. Generating PDFs and emailing is taking about 50% long. Since Sage 100 hasn't changed, it is something with the environment. Hardware hasn't changed either. Maybe something that was in a Windows update.

I was wondering if anyone had anymore insight into this issue.  I am running Sage 100 Advanced 2016 on Win Server 2016.  Our workstations are running on a Win Server 2016 Terminal Server.  Except for the odd report here and there, the bulk of our printing (Journals, Registers, Period End Reports and the like), are PDF files created through Paperless Office.  We are experiencing very slow printing - averaging nearly 2 minutes per page - We are using the latest version of the Adobe Acrobat Viewer installed on the Terminal Server....  I am beginning to wonder if perhaps the fact that each PDF created is brought up automatically in the viewer, is largely responsible for the slow down.  This doesn't answer for the increased time per page to print issue, but was thinking it might be a factor.  We do not run P/R of any kind and are currently not creating any ACH transactions....  Any thoughts or discussion is welcome. - Randy

Is the application, data, and terminal servers the same physical server, and if not are the separate servers in the same in the same building?

Do you have the following: - the paperless folders contain a massive number of PDFs ?

We have seen something similar when this was true...  lets say we had a single folder for SO invoices ...   (true for any paperless)
under window7 and older windows server OS's everything was fine and fast.

After upgrading to windows 10 and newer OS, we had the same issue.  The IT people tried to "tweak" and "blame"...

So we created folders "under" the PDF folder, such as  2020, and made new pdf's  go there.  It instantly sped up.

That resolved new PDF's.  To speed up retrieval of old PDF's, we moved them into folders by year, and changed the path in the log files, and everything sped back up.

Well, @Jeff Fiddelman - that sucks.  When Paperless first came out I made little folders all over and then began regretting it and stopped doing so.  Foo.

@Jeff Fiddelman - Interesting .... that is an idea I had not considered ... Yes, there are a ton of PDF's ... As I am sure we have all experienced, with cheap, plentiful disk space, comes no longer needing to clean up.  I will check into this and post back.

So, is this DD stubs, AP ACH emails, or all PDFs in general?  If DD Stubs, you probably have a new stub form with 2018.  You can try making most of the fonts the same.  Something generic like Times New Roman 10 (No bold).  That has cut a few seconds off in some cases.

Are you running standard or Advanced?  If Standard, try running a batch of your PDFs from the server.  That can cut time in half, or more.  It if does, it can be network and/or virus scan related.  Running Advanced version eliminated the time difference we saw when running at workstation vs server on Standard.  It was about 4 seconds additional per dd stub when we ran from the workstation.

I'm not sure if 2018 has a new PDF converter engine version or not.  If it does, you might try uninstalling workstation and the pdf converter.  Then, re-install both.

The version is 2018 Premium and the PDFs in question are plain old AP invoice registers, daily transaction registers, GL journals registers etc. There are no DD, ACH or Payroll journals involved.

I've seen Sage KB 44655 that discusses slow printing PR DD stubs and that performance has been improved for some clients by changing their printer to Microsoft XPS Document Writer.  Additionally, we have had 2 clients using Office 365 as their email host, in the last few weeks, have their paperless office email sending email address blocked for spam by Microsoft. I don't know if Office 365 has started a more stringent spam filter?
