Silver Strand Beach Bonfire | Final Planning Summary

Hi Team -

Quick but thorough update following our coordination call with Ray and Brenda. We are in very good shape for Thursday evening.

📍 Location & Timing

Silver Strand State Beach (directly across from Loews Coronado Bay)
Event Time: 5:30 PM – 8:30 PM
Ray's team begins setup at 4:30 AM
Our team arrival: 4:30 PM for branding + merch setup

Weather is currently looking beautiful - mid-70s, no rain in the forecast. Perfect beach conditions.

🔥 Layout & Experience

The beach setup will include:

Central circle with 6 bonfire pits
Additional lounge areas with fire features
Accent lighting + string lights
Heaters (Loews provides at $175 each and I may secure some; extras available if needed)
S'mores stations at bonfire
Lawn/beach games: cornhole, Connect 4, frisbee, football, baseball & gloves

Food and bar service:

Primary setup in the parking lot (off sand but connected - this could change)
Backup platform setup on sand (if tide requires)
Full bar with wooden bar setup and staffed service team

🎯 90 Minds Branding + Additions

I'll be bringing:

Branded blankets
Hand warmers
Glow-in-the-dark beer cups
Light-up toys
Banners
Merch items

Ray's team will:

Provide 2 covered folding tables for merch
Help secure banners between canopies (zip ties ready)
Set up s'mores trays + supplies

🔐 Logistics & Operations

Security arrives before guest arrival.
Rangers will be notified of our group size so restrooms and showers are stocked and clean.
A PIN drop with the exact beach location will be sent the morning of the event.
Brenda will not be onsite (conference conflict), but her captain will have full authority and contact information.
I will send Ray and Brenda my direct cell number for day-of coordination.

🎶 Atmosphere

Lighting has been thoughtfully planned to create warmth without overwhelming the natural setting. We can layer in music if desired (I'll bring a large speaker).

Overall

The tone is relaxed but intentional - connection, warmth, and collaboration in a truly unique setting. This will feel different from traditional conference events, and that's exactly the point.

Everything is aligned and moving smoothly.

Let me know if there are any final considerations you'd like us to think through before Thursday. Also I will be bringing a huge speaker for music just in case we want it.
