Signature Capture

  • 1.  Signature Capture

    Posted 06-14-2023 17:13

Has anyone found a way to capture a customer's signature electronically on a quote, etc., like how Docu-sign works? Are there any third-party solutions? Scanforce has signature capture, but the customer needs to sign on a physical handheld.

    Thanks,

    Karen

Does xkzero and/or Scanco have that?

xkzero offers electronic signature capture. Similar to Scanforce, our software requires the person signing to be using a mobile device.

@Karen O'Lane - is this a situation where your client wants to send a quote via paperless office that their customer can then sign online (like DocuSign) and return the signed quote to the client? I'm not aware of anyone who does that, but it sounds cool. :)

I know of seom companies using QuoteValet.  Here's the web site for more information: https://www.quotewerks.com/quotevalet.asp?campaign=quotevalet.com

@Brett Zimmerman - I checked with all the MDs. The usual suspects have signature capture on a physical device.

@Paul Ziliak - Thank you, and yes, I know about your products. Unfortunately, as you say, they really want the email out/sign/email back kind of thing. It WOULD be cool.

@Doug Higgs - That looks interesting. I will investigate it.

    Thanks to all!

This sounds... interesting. @Alnoor Cassim - could a script be run from a button to make a JSON API call by chance?

I've not explored the possibility of doing something like that through Sage 100 scripting, but ... in theory, if it could, the "simple" solution (that would require quite a bit of coding to work) would be to place a button on Sales Order Entry. The user would press it whenever the customer would say, "yup - I want to buy," end user presses it, API call gets made, end user (recipient who is purchasing goods/services) gets a Sage 100 Quote form with a place to sign, end user signs and completed signature document gets delivered to the end user and the Sage 100 customer. The other thing to keep in mind is eSignature compliance. Depending on the customer's industry and where they do business (US vs. continental vs. globally), there may be an elevated/more strict requirement on digital signature capture.

@Karen O'Lane - I'm not sure if that would work in your situation, but that could be an option. It's not readily available today, but if Alnoor knows offhand if Sage 100 scripting can make an API call... I may have a path. I don't know the customer's urgency behind something like this, but it's something I'm now immediately curious to explore if it's possible.

We use Pandadoc internally. There are ways to tie that to Sage 100, although we haven't completed that piece yet. It does allow electornic signature capture. Is this something we think the market could use? We have been slowly working on the development of the connector but if it has a use case out side of our own, perhaps we resell that.

Sorta related to @Karen O'Lane question about signature capture. I have a client that still uses a dot matrix printer (Okidata - remember?) to print "Work Orders" a re-named Sales Order in SO. They print on a carbon-less two-part graphical form. When the client's installation tech completes the job at the customer site, the customer signs the top form. The signed top form goes back to the office for invoicing and the customer gets the second copy (also signed) for his records. Anyone know of a way to quit using the dot matrix printer? Is there such a thing as two-part form using a laser or inkjet printer?

Ask the end user why the customer needs a copy with thier own signature on it.  use multi-part with a laser printer.  Have the customer sign the "office copy" and give the customer the "customer copy".

@Doug Higgs IIRC the answer in the past has been: The client tech will install expensive parts as printed or handwritten on the "Work Order". Sometimes when the customer is invoiced for parts and labor, the customer will question if the invoice is correct. When the customer looks at their own signed (by a customer employee) copy of the "Work Order", and it matches the invoice, they will pay the invoice.

But, I will ask to see if this is still necessary, or if there are other reasons for a "signed" customer copy.

@Karen O'Lane  before going too far I strongly recommend that you take their temperature on willingness to pay. I usually do something like this.

    1. Tell the customer I'll look into the issue
    2. Query 90 Minds and completely anonymize feedback
    3. Suggest to the customer that here are the comments from my brain trust and that you're pretty sure that something like this - since it's so custom - will probably start at $ x,xxx with an recurring fee
      1. You might be surprised by how many customers say "no, just curious" and you save a TON of time

...sorry, for some reason my messages keep getting truncated.

I was able to determine that my customer was curious as to whether it is currently available, but they are not willing to pay for a custom solution. That said, I was glad to have information and options available to discuss. I appreciate you all!
