The customer has three or four invoices a day that they receive cash receipts for that the sales tax is discounted (not paid by the customer).  The customer is tax exempt but was invoiced sales tax.  Currently, the process is to issue a credit memo for the full amount of the invoice then create a new invoice that doesn't have sales tax.  There is a lot of volume and stopping to issue three or four credit memos and three or four new invoices each day is time consuming.  Is there a better way to adjust sales tax?

Doug, I am curious to know why the customer has so many "unknown" Tax Exempt customers? Each should already be flagged, no?

In many states, they are creating a sales tax audit liability for themselves because these states require the vendor to keep an annually-updates Tax Exempt certificate sent by the customer. Without it, the vendor is liable for the tax.

@Jerry Norman  It's a process issue.  Yes, sales reps should be collecting tax exempt certificates and entering the customers into Sage 100 with a tax exempt number.  Getting the sales reps to follow the correct process can sometimes be a challenge.

One of THOSE companies. The CFO should be taken out and shot for letting such a risk factor sit like that. Most companies make the exemption-collection responsibility Accounting's. Sales would just have to flag the customer as tax-exempt and let accounting take the follow-up. Unless a salesperson is specifically comped for getting that cert, it won't happen ... and Management really shouldn't want such a distraction to interfere with the process of increasing revenue ...

I've been working with their outside accounting firm for 30 years and they have the same opinion.  The CFO was college roommate with the absentee owner of the company.  The company President probably would have let him go years ago if he could have.

Instead of preventing the bleeding before the problem occurs, we put a tourniquet on it and move on.
