    I am creating a new role for a customer and looking at Sales Order, Security Options.  What does the "Allow to Exceed Quantity on Hand" Sales Order Security Option do?

    The verbiage at the bottom does not offer clarity?  While I have not tested it, based on the explanation provided, sounds like you can't order it unless it is on hand.  Maybe you have to offer an alternative item?  It does seem like an odd security role

    This applies only to Shipping and Invoice Data Entry.  It removes the "Accept Quantity Entered" option.

    Excellent.  Now if only Sage would be more precise on where this applies to.  Shipping data entry is not the first place that comes to mind.

    @Susan Pawlowic  Did you figure this out on your own or does Sage have documentation on this feature?  This must be new in version 2023.  I think it has potential to be a great feature.  It can solve the issue of creating negative on hand inventory, leading to inaccurate average cost.

    Unfortunately it also assumes that the customer has accurate counts n the first place and the discipline to process ROG before shipments...

    It has the potential to catch inaccuracies earlier in the process, so they can be fixed before causing further inaccuracies... like screwed up costs.

    I just tested it in version 2022 and I am not seeing it working as I would expect it to.  The box is unchecked in role maintenance, the item on the order has 0 quantity on hand and 0 qty available, yet I can ship it in shipping data entry.  Also, the sales journal updates fine, and the quantity on hand is then negative.  Interesting and most likely irrelevant, when the cursor is on the Sales Order, Security Options role maintenance selection, although the selection is "Allow to Exceed Quantity on Hand" the description at the bottom is "Allows the user to enter and accept a quantity that is greater than the quantity available.".  These descriptions represent are completely different behaviors.  Quantity Available and Quantity on Hand are not the same... obviously.

    SO Entry, with and without the permissions (and the SO option to check available quantity). 

    It is not a new option, and does nothing to prevent negative inventory.

    I did some testing and found the same thing. It seems the only change is that it takes away the option to "Accept quantity entered" when manually editing or adding a line in sales order entry or invoice data entry.  In invoice data entry or shipping data entry I can ship more than what is on hand, and also if I click YES to ship all lines it ships more that what is on hand.  I thought maybe I was missing something. Actually I still hope that I am missing something and this should not be happening.  I am testing in version 2023

    @Doug HiggsI disabled "Check for Available Qty" in SO Options and yes, I got the same results as you did.  So it looks like if "Check for Available Qty" is enabled, and the box in Role Maintenance is disabled, then when you enter a quantity more than QOH the box that pops up with the options is missing the "Accept Quantity Entered" option.

    @Susan Pawlowic  That pop up box has always been there if that SO option is enabled.  I don;t see anything new that prevents shipping more than the quantity on hand.... or there is a setting or process I am missing.

    We've been asked many times about how to prevent negative inventory, and found nothing other than using Lot / Serial valuation (which natively blocks negative inventory).

    DSD has SO-1429 .  It checks for quantity on hand and prevents shipping greater than the qty on hand.  When I saw this role option I was encouraged.

    @Doug Higgs yes the box has always been there, but it has 6 options if the box in Role Maintenance is checked; it has only 5 if the box in Role Maintenance is unchecked.  But I only tested this in Invoice Data Entry for a one-step invoice; from others' testing, it looks like it doesn't work that way when in Shipping Data Entry or when in Invoice Data Entry shipping from a sales order.
