    I have a customer where I can run an AR Invoice History Report and see invoices ( including line detail ) all the way back to 2005.


    A customer has requested a printout of their activity.

    At first, I suggested printing a statement and including zero-dollar balances.
    That only produced data through 2018

    When my customer looks in AR under Customer Maintenance they only see invoices back to 2018

    Their question is why can they see the invoices in AR Invoice History Report but not on the statement or on the invoices or transaction tab under Customer Maintenance? 

    Any insights?

    The Invoices tab is AR_OpenInvoice, which has a different purge setting (...Retain Paid Invoices) than invoice history.  The old limit was 999 days, but newer versions allow for 9999 months.

    @Wayne Schulz - IN Customer Maintenance, do you mean the Invoices tab?  That is controlled by # of days/months history in AR Setup, and involves the Open Invoice and Transaction HIstory files.  The Invoice HIstory Inquiry is the AR_InvoiceHIstoryHeader and Detail lines, which are never purged unless manually.​​

    What Beth said, Plus if they want to see the history in customer maintenance they can click on the MORE button then click on "Invoices Inquiry" to see both Open and History

    I think in this case the customer is looking for something like an AR Statement but to have it include all invoices and payments for a lengthy period of time.
    They were able to get some of that info but not as far back as they wanted.

    This is one of the reasons I warn/advise companies to set their history retention to the maximum allowed in the software.

    Good point Wayne.

    I'm pretty sure the AR_TransactionPaymentHistory records get purged out along with the AR_OpenInvoice records. Which means you can't even create a historical statement using the history tables since the payment records are gone.

    @David Overholt - the Cash Receipts History is kept separately, so that's a possibility​

    I once tried creating an Aged Invoice report "as of" a date in the past, which was hard enough with the AR_TransactionPaymentHistory data available.  I can't imagine trying to combine invoice and cash receipts data together in a coherent report... my brain hurts just thinking about it (especially if the system has Multi-Currency...).

    Had a client with days to retain paid invoices set to zero and they were fine until someone decided to do a period end!  Which they never did before.  "where did my invoices go?", they said!
