  • 1.  Sage 100 Premium. Set Inventory beginning balances

    Sage 100 Premium. Set Inventory beginning balances in prior year. Inventory is really screwed up for various reasons and too lengthy to discuss. But, we do have a good beginning balance as of Jan 1, 2015 on an Excel spreadsheet and accurate transactions since. The customer was willing to delete all Inventory transactions prior to 1/1/2015 so currently our first Fiscal year in Inventory is 2015.The thought was that if we could get a beginning balance into all items for 1/1/2015, we could then use the Inventory Utility - Recalculate Item History which you would think would recognize the 1/1/2015 Beginning Balance, pickup all transactions after 1/1/2015 and provide a good current Quantity on Hand for each Item, each warehouse. Didn't work. Does anyone have any ideas to offer.

    How did you get the Beg Bal in there? Is it still there?

    I had this exact problem with another customer some time ago. My Sage case actually got escalated to the engineers because they had to custom write a bunch of utilities to correct the problem. It had something to do with the cost calc issues in 4.4. There were items in that version that were not required to be cleaned up at the time. However, the migration to Premium took those items and translated them into something that completely messed up their inventory. Sage was able to correct it, but it took forever since I was apparently the first one to have this issue. Hopefully those utilities haven't changed much and you can get them from Sage.

    Manually for just one item. I tried IM_PeriodPosting, IM_ItemTransactionHistory, IM_itemTransaction Recalc and IM_WarehousebyPeriod files then ran the utility. Even tried Physical Count with current Year and Period set to Period 1 2015 and System date to 1/1/2015 but that just gave me a current on hand of the Physical count amount. Did not take into consideration future transactions to add or subtract from Physical count..

    @LizOrtega Do you happen to have the case number? I have talked to a number of support people. They act like deer in headlights and basically told me I was on my own. That's not entirely fair because they did say to delete all years prior to 2015 and run the recalc utility but not how or where to enter the Beginning Balance that the Utility would pickup as a starting point for the Recalc.

    The beginning balance should be from IM_PeriodPostingHistory. If you put the beginning balance into the records there for 2015-01, and delete any records from before 2015 in that table it shouldn't have anywhere else to look. Since it is Premium, you can then recreate whatever other tables need fixing from that and the transaction history table.

    Well, if you know what the BB is AND all the subsequent transactions are good, then start with your beginning balance in an Excel spreadsheet, add a summarized transaction total (summarized using a pivot table) and add the two numbers together. This should give you the ending balance. Do a physical inventory freeze and import the calculated number as the physical count. Update to set your ending balance. Run the recalc utility to set your beginning balance. Call me if you have questions.
