• 1. Sage 100 No Longer Launches If Keys 45+ Expired? Is This New?

Posted 11-25-2022 11:53
Via Sage KB 107870

I spotted this in the Sage KB and am only questioning if the highlighted portion is new.
Previously I believe you would be able to review the data but it would be in read-only
The last highlighted line seems to indicate you won't even be able to open Sage 100 with expired keys

This possibly could relate to only specific versions or PU of Sage 100 which is why I'm asking if it's new and/or has anyone seen this in action ( ie - where after 45 days an expired customer subscription disallows Sage 100 to start?)

Resolution

• Sage 100 allows a 45 day grace period with full access to data once a subscription expires. Customers will received a message informing them the subscription has expired and display how long they can continue accessing Sage 100 with full access. During this time, the Customer may contact Sales and renew their subscription if the expiration was unintentional.
• After the 45 day grace period, Sage 100 will only have Read-Only access to data
• Customers will not be able to launch the program after the 45 days unless they register the program with keys that have an active subscription.

As with many Sage 100 KB articles, this one may be misleading. I see in the footer that the keywords are:

Payroll, Subscription, Expires, Read-Only, No subscription, Cancellation, Employee Inquiry

I'm now wondering if the KB only applies to payroll or if it's meant to be a more general advisory of a change in policy.

After I published this info on 12/1/2022 in my Schulz Says newsletter, Sage updated their KB. And for those of you playing along at home ( or forwarding info to Sage ), the reason I can't verify this type of info with Sage is they rarely reply ( unless they're really pissed, which in that case their replies are usually best summarized as "yeah, you're right, but you can't say that because it makes us feel/look bad."

Will Sage 100 data be accessible after a Sage 100 subscription expires?

During this time, the Customer may contact Sales and renew their subscription if the expiration was unintentional.
• After the 45 day grace period, Sage 100 will only have Read-Only access to data
• Customers can still open Sage 100, which will display a message that the Sage 100 subscription has expired, and view existing data but it will no longer have the ability to make changes to the data or enter new transactions
• Reports will run since reports are simply reading existing data
• Maintenance screens will still be accessible, but the fields will be display-only, similar to Inquiry screens
• Visual Integrator Import Jobs will be accessible to view, but the fields will be disabled and the buttons to execute the Import Job will not be displayed

Thanks for the follow up on this, @Wayne Schulz. Your original post freaked me out a little - glad for the fix of a screwup clarification on Sage's part.

I didn't think Sage's original KB sounded correct.
At least, it wasn't my current understanding of how the expiration of a subscription should work.
This is why I posted here to see if anyone had noticed any changes.

Hearing nothing, I asked in my newsletter, and a couple of subscribers emailed me privately with similar thoughts that they hadn't seen the issue, so couldn't verify, but it seemed like a bad idea to lock people out of Sage after expiration.

It would be a lot easier if there were a quick way to verify KB articles that didn't seem right.

On the same topic, I can't seem to find anyone at Sage who can tell me what happens with 1099 forms that were filed through Aatrix when the client had a current subscription, and that plan has since expired. Aatrix tells me that Sage is totally in charge, and if the subscription/maintenance has expired, there is nothing they can do. Pretty sure we can use the instructions that Wayne sent out for Payroll (I think there is only one efiling history file that contains both AP and PR) to see the historical filing. But if the client needs to make corrections to some already filed 1099's, I think it will stop them because they don't have a current plan.

I would have thought there would be some kind of provision for something filed through Aatrix that needs correction, but apparently not. The suggestion was made by Aatrix, to go directly to the IRS website and make the corrections there. Bummer.

In the worse case perhaps a single-user monthly subscription to get back into Sage? Cancel the subscription after making the change? I think it would be somewhat similar if Avalara had filed sales tax returns, and then they needed to be amended. The customer would be expected to have an active plan/subscription or handle the changes manually.
