Sage 100 ERP Advanced V4.4 PU 10 Customer trying to go into Payroll - Period End - eFiling Federal I can see the Aatrix/eFiling screen -- when I try to go and click the W2 (which shows 2013 form) I'm getting an error : error opening file \\svr-app1\Finance\v4\mas90\MAS_CFS\PRCFS\eFilingReporting\20141220475218.txt UPDATE: Solution per call to Sage: Disable firewall or antivirus software while attempting to access or create Aatrix forms Solution: In the firewall or antivirus software set exceptions for Aatrixforms.exe and Viewer.exe. These files are located at: Windows 32-bit OS: C:\Program Files\Common Files\Sage\Aatrix or Windows 64-bit OS: C:\Program Files (x86)\Common Files\Sage\Aatrix OTHER NOTES FROM PRIOR TO CALLING SAGE: I believe this error is somehow related to the system trying to download an update (based upon my seeing that the 2013 W2 form is in the system and not 2014). I am able to manually navigate to the path. I am able to create a file inside the folder Which appears to rule out user rights. Rights are obviously top of my mind --- any other suggestions besides rights? Anyone seen this before?

Noted customer still using old Sage keys - replacing them with new Sage customer number (crossing finger that this works and doesn't require a support call to fix the keys)

How did you get around the fact that the IRD will not load on a v4.4 release?

Did not load IRD - customer just called with this error - I'll let Sage explain if there's an issue requiring the IRD

This will be news to me if v4.4 and earlier won't connect to eFiling without the IRD (which naturally won't load). I think it's going to be news to a few customers. And yes I understand the whole IRD compatibility chart - just a little hazy on whether our 4.3 and 4.4 customers are stranded. Hopefully this is just an unrelated error and efiling will still work with customers who haven't upgraded but used eFiling last year.

Kapersky AV was the culprit - turn that off and the update went through on 4.4

Still interested in what the impact of not having the IRD loaded will have on processing the W-2's...

Via Sage -- I did not uncover this doing my initial Sage KB search: Error: ""File System Errors: The following file system errors were encountered. So far as I can tell the article Sage sent was not public. I think the publish date was 12/8/14. If that is the case then clearly we continue to still have a disconnect between what Sage says they are going to do with the KB (make more articles public faster) and what they are actually doing (not making more articles public faster). Quite simply I do not have faith in Sage's ability to execute and make their KB more partner friendly.

Another update from this customer - excluding only the Sage files listed (Aatrixforms.exe and Viewer.exe) did not work - there must be some additional exclusions - perhaps the eFilingReporting folder itself. Will update as I hear more. Shutting AV off does appear to work but the customer is looking for more specific exclusions

@WayneSchulz what are you and the client going to do about the IRD for version 4.4. Sage states that it isn't compatible with 4.4.

Sorry, I meant what are you going to do about processing payroll in 2015. I got the following from Sage today: Please be informed that the IRD was intended and will only work on 4.50 and higher of the Sage 100 ERP program. Prior version would not be updated with the IRD as they are no longer supported versions under Sage. Sage 100 4.40 was expired in September 2014. Notifications were sent out to all clients primary contacts via our records so they would be aware and schedule their upgrades accordingly. Sage also sent out notifications that IRD and TTU will not be available any further for 4.40 and lower. However, I spoke with payroll and they indicated the following. ""If the customer is still on 4.40 they can actually run the W2's within that program because there were not changes via the IRD that would result in Aatrix not being able to print out the W2s correctly."" However, you must be on 2014 prior to the 2nd run of payroll in January. The Tax Table Update has a considerable amount of updates that cannot be installed to an unsupported version. Not completing the upgrade will result in Employee checks being incorrect and figures for the Government will be incorrect as well. We are sorry for the inconvenience this may have cause but Sage will not be notifying customers to process W2's via 4.40 as it is an unsupported version. Have a most excellent day!!! ? Merry Christmas & A Happy New Year to you and yours Kind Regards, Carmen Cruz Sage 100 ERP Customer Support, Principal Sage North Ame

Interesting. I wonder if there are changes due to ACA that must be tracked...

@ShawnSlavin Here's what Sage's IRD say's is changed in 2015. I've not seen any of the material Sage speaks of (except for the IRD that they posted) and it sounds as if it's business as usual with Sage. In other words - when there's bad news to deliver (potentially needing a sudden upgrade) Sage ducks for cover amid a newfound respect and need for channel ""partners"". I do not know if Sage 100 ERP 4.4 or 4.3 will run with Aatrix -- I suppose we are going to find out. The message for 2015 - ""All customers should upgrade to the latest version of Sage 100. Please contact us to learn about our program that will manage your upgrades for you"". PAYROLL: The 2014 IRD contains the following enhancements for Payroll: There were no W-2 form changes for 2014 The Federal and State eFiling and Reporting version has been updated to 2.47 New Localities for Ohio have been added in Tax Table Maintenance locality description listing Other Local Tax amount will now populate in Box 14 of the W2 form, when a Local Tax Code is setup with both a Local Withholding Tax and Other Local Tax. (Defect 103288) Affordable Care Act (ACA) Reporting Requirements beginning Tax Year 2015: To help determine if you qualify as an Applicable Large Employer (ALE) you MUST select to Retain Perpetual History in Payroll Options if not already selected before processing your first payroll in 2015. 1. Open Payroll, Setup, Payroll Options 2. On the Main tab, select Retain Perpetual History 3. Click Accept Note: The Retain Perpetual History option must be selected for each of your companies. Please make sure the appropriate person in your company is aware of this very important information. Here's the IRD what's new http://www.slideshare.net/WayneSchulz/sage-100-erp-ird-for-2014

@WayneSchulz my concern is that the IRD contains changes that implement the ACA compliance and without it, reporting at the end of the year will be inaccurate. As you said, we will see.

PS - Pricing on upgrades should also be presented with an option for xx days notice (let's use 90) and a price for less than 90 days notice. And notice = downpayment not ""oh let's do it' but no money to confirm.

I asked Sage today when I was on the line with Ronnie - he didn't seem to know and appeared to be referencing some portion of the material that you shared above. I'm guessing that the most important thing is to turn on perpetual history. In the past TTU have installed regardless of version IRD have been version dependent and you were barred from installing to older unsupported versions The TTU can also be manually updated -- I'm not entirely sure if Sage was referencing the TTU changes or if there are other programatic changes. As you say - I think we're going to find out.... Definitely for 2015 we are going to be changing our advice to users and just like we would never tell a user to drop maintenance (or they turn and tell Sage we told them to drop) --- we will be recommending to all users that they remain on the most current level of Sage 100 including product updates. When they ask how soon after a release they should adopt the update I'm guessing we will go with advising them to wait 90 days unless there is a compelling reason to do otherwise . Business wise I think it's going to become important that we begin training customers that upgrades require a certain number of days advance notice or we consider them to be emergency updates billed at a premium fee because we need to set aside other customer work. Never start an upgrade without getting the money up front. 100% if you can.

We always get payment up front for projects unless they are really small. Regarding timing, any time a customer calls and says ""Oops, we have to do this next week or we are screwed."", the proposal has an expedite charge associated with it. There is a cost to us to move other projects around or work our people after hours. Either way, we charge a premium and give part of it to our staff.
