    Just making sure everyone knows that Sage added the fields to differentiate between the first, middle, and last names for anyone who files 1099's with Vendors who use a Social Security Number (and not an FEIN) to be compliant with the new government mandate this year. There is a "gotcha" though -  conversion from the existing name field only happens if the DBA name is filled out.  And I've confirmed with Sage that indeed, it does work as designed to only convert the DBA name.  Almost none of my clients have that DBA field filled out for Vendors using an SSN, so nothing converts to the new fields that Sage added. Just wanted to give everyone a "heads up" about that.  Clients will either have to fill out the DBA field before processing 1099's, or just manually change the Aatrix spreadsheet.  If you knew that - great!  But if you didn't, you at least now have time to alert the clients before the end of the month.

    I should have mentioned that you can do an export to Excel to fix the names if you have many, and an import back into the new Sage fields.  We have that export and import if anyone is interested in having it.

    A couple questions:

    When you say conversion I believe you are talking about the one-time conversion from an older Sage version that happens during upgrade or when the appropriate PU is installed?

    I'm confused by this - if the DBA field exists does this imply that Aatrix will do the split out of the first/middle/last name on individual type 1099 forms?

    Wayne - When the appropriate PU is installed that adds the separate fields for First, Middle and Last name for Vendors with SSN's, we thought the PU would automatically parse existing Vendor names into the separate fields.  But, only Vendors with the DBA Name filled out parse into those separate fields.  Nothing happens with the Vendors who have no DBA name.  If the DBA name is there, then indeed it does fill out the new fields with First, Middle and Last Names.  We have very few clients who have both a Vendor Name AND a DBA name, because most of the Vendor Names are the same as the DBA.  And prior to this release, the 1099 would have printed both the Vendor name and the DBA Name on the 1099.  Two lines with the same info.  So again, most of our clients don't use the DBA unless there really is a different name the Vendor uses.  Clients either need to go through and fill out the DBA names before they install the PU, or plan on either correcting the data in the Aatrix screens, or manually fill out the new fields in Sage before they run their 1099's.  If there is no DBA on a Vendor that has an SSN, then the new fields (First, Middle, Last) remain blank after the PU is installed.

    Thank you for all this 1099 information. I understand the individual vendor type piece that needs to be done, but if the vendor type is Business does the DBA need to be filled out as well before doing a product update? Based on below..then yes?

    Versions 2024.0, 2023.3, 2022.6 and prior still only have the one 1099 field for the 1099 Name. The 1099s that need the information will need to be edited in the Aatrix preparer grid before printing/efiling.

    • For Business type 1099s, the TIN is used. If Vendor Name is not associated with the TIN, they need to enter the 1099 name for the TIN.
    • For Individual type 1099s, the SS# is used. If Vendor Name is not associated with the SS#, they need to enter the First, Middle and Last name for the SS#.

    I just tested this, and it used the Vendor Name field for the Company Name, left the Full Name blank (which is the DBA name if ifiled in), and allowed me to continue on past the data screens without errors.

    Susan,

    If you haven't already, can you test what happens if you have an individual setup without First/Middle/Last name. Does the Aaatrix integration let you enter through past warnings about first/middle/last name as it did last year?

    Tested with Individual, vendor name filled in, DBA field blank:

    1. Company Name field is blank
    2. Full Name field is populated with the vendor name
    3. The following message appears; if you choose Continue Without Correcting, you can move forward.

    They offered that last year, too, but Aatrix put out a notice that they had an exemption from the IRS for 2023 because it was too late to make the needed changes.  I would be wary whether that exemption will still hold for 2024.

    I agree with Beth Bowers – I think the government will not let it pass again this year.  It was just for one year...
