    Running Payroll Data Entry Audit Report and receive the message: Warning: An out of balance condition has been detected. Please correct before proceeding. It doesn't tell me what is out of balance. How do I identify and correct?

    Do you get the report? Look at each entry for an ""Out of Balance"" check amount. (I believe that is how it appears.)

    It is the usual frustration with the new knowledgebase why I posted in here because I couldn't find anything. After multiple searches, I finally found the answer: How to correct out-of-balance issues in Payroll. Before the Check Register has been updated: Delete the out-of-balance entry, and reenter the employee's correct earnings information in the Payroll Data Entry window. Continue with normal payroll procedures. Note: See Payroll Help for more information on Payroll data entry procedures. If the out-of-balance issue still occurs after deleting and recreating the entry, perform the following: Rebuild the following key files (see Related Article below How to Rebuild Key Files): PR6 - P/R Payroll Data Entry File PR8 - P/R Payroll Data Entry Tax Summary File PR9 - P/R Check Printing Detail File PRA - P/R Report Sort Temporary File PR_42 - P/R Data Entry Tax Summary File II Analyze and Relink PR7 - P/R Payroll Data Entry Line Detail File.     You can preview the report and do a text search for the word Balance to find the entry if you have a long data entry audit report and don't want to look page by page.

    I have found that an out of balance condition seems to occur when a change is made to an entry and ther person making the change clicks Accept at the bottom of the screen without clicking OK to accept the line first. You can correct by deleting the entry and re-entering.

    Examine each check carefully before updating. Sometimes there is hidden bad data that influences things you wouldn't expect. Yesterday, a client reported that random paychecks were overwithheld on state taxes only. No rhyme or reason or trend.

    Text search is the fastest way to find the offender..... Happens to my clients a couple times a year....
