Reuse Deleted invoice from Shipping

  • 1.  Reuse Deleted invoice from Shipping

    User creates an invoice through shipping data entry.   He realizes he cannot ship that order and cancels it.  In Invoice Data Entry...there is a Deleted Invoice number that can never be reused because it was created through Shipping.  Is there any way to allow the user to reuse the Invoice Number????

    I believe if you uncheck the "retain deleted invoices" in accounts receivable options then users can re-use the invoice number.

    Tha only works when you are not using Shipping Data Entry... once you are in Shipping data entry...the shipper cannot recall it and in Invoice Data entry it does not show//

    I'm pretty sure you can't do anything with the record type XD invoice. 
    Disable the option (like Doug said) and that should not be saved, so you'd be able to type in that invoice number manually, as if it was never created / deleted.
    ​​​If they want to retain deleted invoices, they need to live with the XD records / non-sequential real invoices.

    The issue is that they are using SHPPING DATA ENTRY… in that screen you dont have access to the deleted invoice, even if you deselect to keep deleted invoices

    Click Yes to this, and there is nothing to reference.  It's gone from the data entry tables.
    If you're asking for a way to reuse / override the InvoiceNo in Shipping Data Entry, I don't think that is possible.

    If there is only one or two users and they really want to reuse the invoice number in shipping data entry then besides turning off saving deleted invoices, they could then go into Sales Order Options, Entry Tab, and change the Next Automatic Invoice/Shipping Number to the invoice number they want to re-use.  Then after re-using it change the Next Automatic Invoice/Shipping Number back to what is was before it was changed so the sequence stays in tack.

    Why is it important to reuse the invoice number?  If shipping is deleting a LOT of invoice numbers, may be the customer should be investigating thy this is happening.  Why doesn't the shipping department know before starting shipping entry that this order is non shippable?  Sage is never going to change the code and an MD enhancement seems (at this moment) to be fixing the wrong issue.  IMHO

    You are 100% correct @Jeff Schwenk.  I told the customer that….and they got really upset.  I guess sometimes I cannot think too much, just answer the question.

    I can imagine that conversation:
    • Sage cannot re-use an invoice number the way you ask, using Shipping Data Entry.  Why is that important?  The purpose of any transaction number is for a unique reference, and a gap in sequential invoice numbers doesn't affect that functionality.
      • But... I want them in sequence.
    • Why?
      • (Client's brain explodes after OCD induced meltdown, being unable to put an irrational compulsion into words).
    • (Walking away slowly...).
