  • 1.  Renaming Paperless Forms in file location

    For paperless forms, does anyone know if there's a way to manipulate the naming of the pdf in paperless office location? Full Description is used but customer wants them to be named like this: customernumber_invoicenumber.pdf instead of the full description which includes the module, date, etc. Thank you!

    ·         If you select Full Description, the file name will vary based on the form type. For example, the file name for an Accounts Receivable invoice includes the division number (if divisions are used), the customer number, the module code, the invoice number, the invoice date, and the sequence number: 01ABF_AR_0100058IN_20181128_000.PDF

    Note If you select Document No. the full description is still used for the PDF file that is saved in the PDF directory.

    I'm not aware of a way, but I'm curious why.  I've seen this request a couple times recently.  Assuming the client is using the Paperless Viewer(s) inside Sage 100, why does the filename matter? - unless they're accessing the Paperless docs via Windows File Explorer, in which case I again would ask why.

    They have an AR collection management program called TermSync that will use the Sage paperless invoice pdf. They currently wrote a program to copy all the invoice pdfs from the Sage paperless file location to the TermSync file location but TermSync needs the files named specifically as customernumber_invoicenumber.pdf. Maybe they can use windows batch rename with some sort of logic attached to it.     For what it's worth, I have a client planning a similar project for their Sidetrade "integration" and we'll be using KnowledgeSync to generate copies of these invoices so that I can control the naming of the files. I don't know any other way to handle it.

    SAW is a great way for emailing invoices.  Much faster and you can do it off hours.  We generated PDF's during the daily update paperless purposes, then ran SAW in the early evening to send the SAW generated invoices.  So much faster.

    Dana - I've done something similar via programming before and learned the Paperless logic is way more conditional than it appears. E.g. Batch numbers are considered too and "Keep only the last copy" setting in Paperless Options is a big deal for journals and report.

    With that in mind, if you go the Knowledge Sync route using the format customernumber_invoicenumber.pdf, know that duplicate invoice numbers for the same customer are allowed in Sage, which is why the Seq Number there. You may need to put in a process to prevent this (e.g. script), otherwise the latest customernumber_invoicenumber.pdf will ovewrite the previous one and that would be bad (UNLESS TermSync does its own sequencing when it syncs.)
