Reducing GL Structure

  • 1.  Reducing GL Structure

    I know Sage says it can't be done, but has anyone found a way to reduce the GL structure length?

    Have a client with 1 segment of 7 characters that wants to move to a 4-2-2 structure, but not having any luck in a solution to truncate the main account. 

    Anyone develop a program or enhancement to accomplish this? Thx!

    That was an option we discussed but they want to avoid keying in all the zeros to get to the next segment.

    I've done it in Premium by modifying the data in 11 GL tables, but my customer was fine with taking the risk and me flying by the seat of my pants. They've been on it for a year with no issues, but we haven't performed any upgrades since, so issues may still be lurking...

    Similar to Steve, I had my best consultant make a copy of the database, perform the edits in that company, had the customer test in the duplicate company and sign off they were taking the risk.  We then made a backup of the database for posterity before reperforming the steps she documented (in SAP) on production.   Our fall back was to post all of the transactions in the GL to the old system if something went wrong and keep the adjusted system for reference of sub-ledgers in the case of future failure.

    IF you consider a similar process, make sure you have the customer absolve you of any and all liability of performing an unsupported shrinking of the main account.

    Alternatively, keep the current company and write some cross company queries and setup a new company with the requested segmentation.

    What other modules do they have?  You could set up the GL in a new company, import the history (with restructured account number) and copy GL back to old company.  You would have to change all default accounts as well.  The GL accounts in the module history (AR, AP, IM etc) would be funky though.

    Thank you, everyone!

    They have most of the modules, distribution, + PM, etc.

    I like the idea of the company copy. I wonder if I made the new Account Key match the current key it would match up for the modules?? Then I just need to change the defaults & setups. 

    I will start doing some testing. Thx!

    It has been my experience that matching the account key was impossible (for my skill set).  That is why I had to change the set up options plus all tables (open SO, PO, etc).

    If you have the wizardry to change the KEY to match the original 9 characters, it should work.  I am concerned where Sage stores the "next" key to assign field for future account creation.

    Throw a huge consulting fee at them, with clear caveats that it is absolutely not recommended, includes a very high possibility of data corruption in their critical GL history (and module reconciliation). 

    Then mention using 7-2-2 is likely their best option.  See how fast they agree.

    If they want to proceed, get it in writing that they accept all liability for their decision: even if you do the work, any problems are their responsibility.

    What Kevin said. I've been through many different "hey can Sage do xyz or pdq" and I spent a TON of time researching and then the customer says that if it's not a free or $100 fix that they aren't interested. 

    On all but my AA+ customers I almost always throw out a number in advance and phrase it like "if this is possible, I think your looking at $ x - should we keep looking at this?"

    Over half of my customers will tell me that it's not that important to them. Unfortunately I only learned to take this approach in the last several years.

    And, heck, now I do it with orphans too - especially those who are clearly just sending out the "sales@s-consult.com" cut/paste emails. As in, how likely am I to be able to fix someone's problem who is in Hawaii and has 8 different third-party solutions on a 100 user system and their complaint is instability and they're coming from a good reseller.  I would say 99.8% of the non-local tire kickers NEVER will even email back once they've gotten a round number idea of cost. I'm willing to help but I have already seen so many movies that are just like the one they want to show me that I think I should be paid to even go to the theater...

    Nope. I've had a couple Hawaii customers and none have gone for it. I did have an Alaska customer once and they did fly me out. That was a LONG flight from the east coast in the center seat.

    Found it.....

    I am returning from visiting a client in the great outdoors of Alaska -- and when I was pulling up to the rental car road early this morning I saw this. Luckily my camera was ready but it was a little blurry....

    Ha - no - I think this was from the Anchorage airport and it was either in a dark lobby or just outside. The picture looks almost believable because the quality is not great. Not real. Well, I think it was real at one time but it's now a stuffed animal in an airport lobby if I remember correctly.
