  • 1.  Purging Terminated Employees

    So initially terminated employees were purged out of the system the year they were terminated.  Then Sage changed it to be based on the number of years to retain efiling history, requiring a minimum of 2.  I heard a lot of complaints about that back when it happened.  Now in the new payroll, it's based on the number of years to retain payroll history which has a minimum of 4.  

    As long as I had Linda Cade's ear, I asked about that.  She said they changed it to 4 because FLSA requires a minimum of 3 years retention.  I asked why they chose FLSA requirements instead of IRS requirements, which is higher.  She didn't know why but suggested that I increase the number of years to cover IRS requirements.  I then reminded her that we were discussing it because I was looking to get employees purged out sooner, not retained longer.  

    I submitted an enhancement request but fully expect that go to nowhere.  

    I'm curious what your thoughts are on the subject.

    I never did like the fact the employee disappeared at year end.  Several clients made them inactive so they would not disappear.  And I don't think the perpetual history went any where either so reusing the employee number created issues as well.  Back in the day (and currently as well) many companies did not have an HR package to track employees, PR was the de facto tracker.  So I do like the change.  Gives company a little bit more control over retention.

    Mary Jo I put in that same request a few weeks back because two of our customers (one on v2017 and one on v2018) had the same complaints about terminated employees. I was able to create them a custom lookup view inside payroll data entry to only show active employees to help process payroll quicker since they both had over 150 employees and didn't want to see terminated employees in the current lookup as a workaround. Still doesn't fix the issue about not having the option to purge employees after they have been terminated until 4 years. Also, to include to add better documentation in the help files on purging terminated employees based on years to retain history with no option to purge sooner.
