Purchase Order Per Unit Cost Changing

  • 1.  Purchase Order Per Unit Cost Changing

    I have a client on v2018 Premium (PU5) that is reporting that the Unit Cost in Purchase Order Entry is changing, seemingly at random.  They say they've seen many instances of this and are only now reporting it ... just getting tired of changing it back to what it is supposed to be.  I know PO history will track the Original Unit Cost and the Current Unit Cost so I suggested they also check there the next time, but if it's been corrected already (or at least once before), that won't help.

    Is anyone aware of any standard Sage function that would update the Per Unit Cost on a PO?

    I've asked them to right click on the header and check System Info next time to see if Sage is tracking a user with updating the PO.  I won't confirm what was changed, but might give them some direction.

    I haven't sent it to Sage yet. I couldn't find anything on the Sage KB, but then again, my searches rarely find a relevant article on anything ... sorry, it just slipped out.

    Check Vendor Price Level Maintenance in the Purchase Order Setup menu, I often find that someone has entered prices in there and they are at the top of the hierarchy during PO entry.  If someone enters a "Vendor" price Sage will actually use the same price for everything ordered from that vendor.  If there is old data in there a quick reinitialization of the file takes care of that.

    I did check that table and it's completely empty.

    The challenge is not that the PO is created incorrectly, the problem is that it gets changed and no one knows why!​

    Since it is Premium, you could put a trigger on the PO Details table to record when the price is changed.

    We've done only a bit of work on triggers at this point, but the logic is still the same.

    @Kevin Moyes is going to add a script that triggers and adds an entry to the SY_ActivityLog file to find out who and when.

    Nice thought but I'm going to write a script, column post validate, to write details to the Activity Log... and I should be able to get more details from within the Sage business object too (Sage user, StartProgram, EditState for the header / detail...).

    Any chance that particular line has had an ROI applied against it?  Sage has (had) a "feature" that used to change the PO cost to reflect the actual invoice amount paid.  Used to drive me crazy as a controller.  AP clerk would flag the line for followup by purchasing.  When purchasing followed up, the PO amount equaled the Invoice.  The magic of Sage's feature.

    Good luck.  I will put money down that that is what you are seeing.  No reason to think things are any different 23 years later.  IMHO, this feature should be check selection box in PO set up options.  I can see some merit in the feature but it can drive you crazy when you notice it.....

    That's exactly what's happening.  Just tested in v2020, too

    Summary for those you reading ... changing the per unit cost at Receipt of Invoice time will update the Per Unit Cost in Purchase Order Entry

    Great catch @Jeff Schwenk  I learn something new all the time in this group. 

    This seems like a great feature if there was a way to turn it off and on.. maybe via PO options or as Jeff suggested, a check box on the line item.  It actually makes a lot of sense. @Robert White Any reason this customer wants it disabled or were they just curious why the amount was changing?​​​

    @Doug Higgs  They were curious as to why it changed since no one accepted responsibility.  They are a subsidiary of a larger company and the person entering the invoice doesn't have the authority to issue purchase orders, so they shouldn't be allowed to change the PO itself.  They have a fair bit of separation of duties and this bypasses who is allowed to issue/change a PO.

    I'm in favor of the PO Option or check box approach, too.

    @Robert White  That's an excellent reason to have either a role line item or another way to prevent updating the PO unless there is a supervisor override or other method.  Very interesting post and very surprised this issue hasn't been addressed or has been ignored in the past.​​

    This "Feature/Easter Egg" has been around since 1997 or so.  I ran into the same issue back then.  SOTA said it was a WAD/Feature.  Their reasoning was that it save the buyer steps when reordering the item....   I would like a little more granularity in the options category but in the grand scheme of things, I will rank it #1,675 in my hierarchy of fixes.  Much rather see PM working as DESIRED, IRD and access to bank feeds.  And yes, I know that Acumatica would through it out to their developer community and some smart MD type would have it available over the weekend.  To paraphrase a children's Bible song, "Yes, Sage loves me, yes, Sage loves me, yes, Sage loves me cuz Phuong and Linda tells me so!!!!!
