  • 1.  Purchase Order Approval process

    What solution(s) are you recommending for a PO approval process?

    In the past, we created something with UDFs, custom screens, scripts, etc, but that was pretty tedious.

    And some of the others seem to be pretty pricey if all you want is the PO approval process.

    Any thoughts welcome.

    Have you looked at Sage AP Automation? 
    I have one private school that picked it up at the start of the pandemic and they seem to be very happy.

    One gotcha that people reported early - and I'm unsure if it has been fully resolved - is the PO 3-way matching.

    I have another larger customer in the wholesale distribution industry that went with Altec though I'm personally not a fan of any add-on that makes it more challenging  for the customer to upgrade their core Sage 100. Altec is also expensive and you may sit through a ton of discovery and demos and find that your end of the deal is mostly what you can bill the customer for your "Free Demo" ride along. From memory I don't think Altec provides margin on their professional services which I believe are material to the project cost.

    Depending on the environment you could use the MS365 integration / MS PowerAutomate to run approvals directly into the MS Approval interface in Teams, Outlook. That gives you lots of options. You can send it to many, but only one needs to approve, or all need to approve or you do a multi-step approval or do it value-based. I used that method to create a check approval process and the client loves it. The approvers can just stay in Teams/Outlook and don't need to go into Sage.

    Sage was supposed to have built out connectors for using tools like Power Automate.  But this topic appears to be one of the best kept secrets about Sage 100 in the last couple of years.  Do they exist or are they just more vaporware?  And if they exist why is document so thoroughly hidden?

    We've got clients using eRequester. I don't know anything about the costs but they all like that approval can be done via the web. I think products like Concur and Expensify can handle POs also but might be overkill.
