PR: Time Off Code Not Optional in PR 2.x ?

  • 1.  PR: Time Off Code Not Optional in PR 2.x ?

    Posted 06-17-2019 12:58
I have an existing user on Sage 100 2017using the older payroll. During my test migration I note that the employee benefits ( now Time Off ) don't appear to compute any hours available.

I believe this is because the use of a Time Off Code is apparently now mandatory in payroll 2.x?

This customer did not seem to use Benefit Codes in the old payroll and instead I presume they manually updated the benefits during year-end.

    Can anyone confirm

    a) The use of Time Off codes are now mandatory ( without one the hours available doesn't appear to compute )
    b) If so, is there a generic Time Off that you can create and just assign to everyone or do I need to sit with the customer and re-implement / re-think the user of the time off / benefits in payroll ?

While it can be a good time to discuss, I haven't found a good way of updating at year end, like most people do, yet.  I've setup a generic code with Fixed as the accrual method and 0 as the rate, but I really struggle with this.  There don't seem to be enough samples to understand what the options all do.

Initially, that is what I did. I added a Time Off Code with Fixed for both Vacation and Sick.
For whatever reason, the customer wants to track and compute the carryover, etc outside of Sage

So far as I can tell the prior payroll did not require a benefit code but payroll 2.0 appears to.

This post is over 1 year old, but just realized this is happening when upgrading from Payroll v2017 to Payroll 2.x.  A default Time Off Code is not automatically assigned to each employee in Employee Maintenance on the Benefits tab. Not having an assigned Time Off Code causes the Hours Available to not display correctly on this tab. This issue is explained in SAGE KB #92335. This required but missing Time Off Code does not show up when you run the Payroll Status Check utility.

This means I have to visit each employee's record (a lot of them) and add a non-accruing default Time Off Code. Has SAGE addressed this migration and conversion issue in any fixes to Payroll 2.x?  Is there any additional instructions (or samples) on how to work with the new Time Off Code along with Vacation, PT(Sick) and the third Time Off category?

@Beth Bowers  Thanks! Oh yeah, I need to learn the new hoops that you have to jump through, now that the Payroll files are encrypted.

@Michael McDonald - you can import into the Employee file without any hoops.  You could either do a VI job using the ODBC driver and just read from the file and import right in using the Dept/Employee number, or you could export Dept/Employee number out and use that file to import in.  You don't have to worry about the conversion to Employee Key there.

@Michael McDonald - If you haven't already, check out @Dan Burleson enhancement for writing ad hoc queries and Crystal reports pulling encrypted data.  No need to run the Crystal report inside Sage.  I use it for many PR clients.

I also use the @Dan Burleson solution.  It works great.  You should tell your client their data is not encrypted when using the solution.  My client does not care, they just want their data.

It's not like I am doing any nefarious de-encrypting. I just make it easy to access the same PII data that Sage 100 already unencrypts for us. My method requires the same user P/R roles and security settings that Sages does whether they are accessed from within Sage 100 or externally via ODBC.

Nefarious?????  All I can say is that if you do PR ODBC queries with Excel or Access, this enhancement is indispensible.  I normally don't advertise to all that it is available but for those in the need, know.  Will it keep someone like @David Speck II out?  Probably not, but then again, if you have someone of his talent on the system at 2 AM, you have bigger worries.........
