Perpetual with PR subscription

    We have a customer who is considering not renewing his perpetual Sage 100 license. They have legacy PR and subscription for that. What happens if they do NOT renew their ERP maintenance but continue to renew their PR subscription? He's never been worried about TTU's or W2's - I believe his CPA does that. Just curious.

    We have another customer who only has a PR subscription that is active. Not sure how long that will hold out.

    Therese - I've been told that you cannot have a payroll subscription without having a current Sage 100 license.  Pretty sure they won't be able to only renew their Payroll alone...

    The more I think about your question, the more questions I have :/    What version are they on?  --> can Sage disable their system.

    There was an announcement that customers using Payroll will have to upgrade at a point (either version 2020 or 2021).  Not sure how that will truly affect customers running older versions (pre-disable function).

    Just going by the experience of your other customer, they may not experience is deficit in functionality.  However, with them being on 2016 I have great concern that Sage is going to disable the rest of their system.  And It may be the case that all they need is Payroll --> here is where I go into my many, many questions, so I'll stop now. :)

    The programming is in place with that version.  Perhaps it's more a question of will Sage do that for perpetual?  We have customers with perpetual license stop maintenance and continue using their systems, but not with the newer versions.

    Hahaha!   I started to say that since the Payroll seems to be its own group now, I'm not sure how the divisions at Sage would know if Payroll was renewed but the rest of Sage 100 was not.  No doubt they do not communicate.   Do you know what Product Update of 2016 they're on?  Because not all versions of 2016 have the monitoring  built in.  I have an email from one of the programmers that tells me what Product Update starting building the monitoring (and expiration dates) and what Product Update enabled the monitoring.   So – it could very well be that even though your client is on 2016, that they still are not being monitored.  I'll see if I can't find that email with the Product Update that actually caused the software to be able to be monitored...

    I would think that if they remain on perpetual and continue to renew their PR subscription, they should be fine for the time being.  If they stop renewing their PR, then it goes to some type of read only.  They loose access to updates, but it sounds like the client really doesn't care.  In two or three years, their server will "probably" be replaced, but they should be able to copy the MAS90 folder, run the wksetup and continue puttering down the road for a few more years.  Then you can get them to upgrade and receive new subscription pricing credit.......... six or seven months later when the correct commission credit is finally processed.

    Plan B = drop down to single user Sage100cloud subscription on the lowest level offered

    I also recall Sage saying that the customer had to be on plan in order to renew payroll. Whether Sage enforces or captures that info is a different story. 

    The versions of Sage which I show as capable of being self-updated are: 

    Sage implemented a license key update program starting with Sage 100c v 2016 PU 2. There have been reported issues with the service, as it will lock out users if there is anything out of ordinary with keys.

    Versions of Sage 100 and Sage 100c which auto-update keys:

    2015.5+
    2016.2+
    2017.0+

    Note: Versions 5.20.3 (2015.3), 5.20.4 (2015.4), 5.30.1 (2016.1) will have the ability to update the payroll expiration date with the Update button by installing the Hot Fixes based on version KB 83158 ( https://goo.gl/NnlQbY ).


    A few things to consider: 

    1. If the Sage PR keys suddenly encounter a problem - you'll probably be in a situation where Sage won't help unless they change their mind about requiring Sage 100 in order to run payroll.

    2. Sage may not be actively pushing key updates on a regular basis to these versions - but that doesn't mean they won't in the future. Is the customer ok with an emergency update on 12/31? 

    3. It's probably cheap insurance to buy a single user Sage 100cloud

    4. Sage says they are not issuing payroll related fixes for any legacy payroll users - you must be on 2.x

    5. The CPA may be able to manage the filings but if there's a problem with computing tax during a payroll run - that's going to be a situation where they will be forced to upgrade

    6. I would bet on payroll tax computation becoming more complex and potentially requiring a program update ( versus just a table change ) within the next couple of years


    So long as you disclaim this ( and more ) and the customer is ok - then let them stay wherever they want. Just charge $$ from the first call and advise if you have to save them during the busy year-end time that they may wind up paying more than a 100cloud subscription.
