PDFs not created/missing?

  • 1.  PDFs not created/missing?

    I have a client new to Sage 100 who has noted that randomly PDFs are not created or are missing for inventory transaction adjustments.

    The paperless office is set to automatically create PDFs.  Update from preview is turned off ,  No one has rights to delete PDFs.  No one has reported errors when updating the journals and I don't see any errors in the system activity log.

    They are currently on 2019.2  (at the time of initial install - operations management was not yet compatible).

    Anyone seen this or have any ideas?

    If they have multiple Roles per person, you're positive NONE of the roles let you update from a preview?

    Yup.  I checked all roles and absolutely no one has print from preview enabled.

    I'm aware of the printing from preview "snealk" and have locked all that down long ago.

    The only other thing I discovered today is that one of the users has been unable to print to pdf (the infamous Windows 10 update security permissions issue) so he has been doing a preview and printing from there.  Then someone else actually updates it for him, but they would have to truly print it too.  Possibly that's the hole in the system?  I'll have to experiment a little on my own system.

    We only see this with users posting from Preview. 
    If the entries are in Paperless history (with updated = Y, but the PDF's are missing) then I'd suspect something like Anti-Virus software.

    There are no entries in the paperless office database at all,  not even one saying that the PDF does not exist.

    Hi

    There is something you can try to see if you can duplicate this...

    In a role that does not have permission to update from preview:

    Preview a register, close the preview, and you should not get a prompt to update.

    Preview a register, and then print it from preview.  then close the preview and see if you then get a prompt to update.

    If you do, then this is a "hole" that allows update without paperless office.

    Technically, it was "printed" .....

    If you can duplicate this, then you may know how this happens... Stopping it is another story

    I went thru this after a 2017 to 2020 upgrade.  The payroll DD Stubs would not create.  Found the Payroll DD PDF files did not convert.  I had to reinitialize them and everything worked as designed.  
    Try looking at the Journal/Register PDF logs.

    Wow.  Sage almost certainly had to purposefully program that kind of print detection... but why go to the effort?!?  We use the role permission to force Paperless PDF creation, and adding a process loophole (where a printed preview counts the same as a print) is insane.
    I'd report it as a bug.

    I would not have believed that had I not duplicated it.  The subsequent Daily Transaction Register did NOT automatically run, either, when I did it that way.  Wonder how long it's been this way?
