  • 1.  Payroll Year End - Copy Company?

    The PR YE checklist still lists creating a copy of the company as a step before closing the year.  Back up your company data files onto a quarterly set of backup disks or tapes &/or make a Copy Company.  This was a requirement in legacy payroll but is there any value in PR 2+?  Most reports now allow selection of the qtr/yr.

    1 reason might be:  if this is a new/upgrade install and first year end.  Unless you're certain the Vacation/Sick/PTO is set up correctly, I would suggest a copy to confirm.  My customer thankfully made a copy the other day and afterwards noticed the time off didn't carry over.

    I have a client that doesn't want time off to reset annually so we have to re-import it every year from the backup company too. is there a setting we are missing that will stop the time off fields from resetting? they want all 4 fields ( Accrued, Limit, Carryover, and used) to remain unchanged,

    Having backup copies of companies just for PR/GL is a pain when it comes time to upgrade.  I can see for reasons such as benefit reports if the info doesn't carry over tor the new year properly.  Are there other reports that are now not date sensitive for which you need a copy?  Thought that was the point of PR 2.0.  We don't routinely make copy companies of non-PR  companies for year end.

    This week I received a call from client with 2021 PR issue.  Prior to closing PR the year, he issued six supplemental checks for S-Corp shareholder health insurance premiums.  He then closed the year and ran first 2022 PR.  He then discovered that using a regular earnings code AND a pretax insurance deduction code did not produce the desired results for w-2's.  I said he "should" be able to reverse the six checks and reissue using a new earnings code for insurance premiums and the FB deduction code..  He declined to be a pioneer so we restored the 2021 back up, reversed the checks, corrected the six checks, ran the YE reports, closed the year and regenerated the first PR.

    My bigger question is what is the best way to do this?  Could we have reversed and reissued the health insurance checks using a 12/31/21 date while the PR period is set for Q1, 2022?  OR would this still leave the YTD numbers mucked up.
