Payroll - update 2.19.4

  • 1.  Payroll - update 2.19.4

    Posted 09-16-2019 11:45
    Just ran into a situation with an upgrade last Friday where the Hire Date did not migrate over from 2017.  I know this is the latest payroll release, but has anyone run into this in the past?

    Also, under payroll bank account maintenance for Direct Deposit under the Records Tab, the File control record defaults to Block Size 9, when in the previous version it is set up as 10.  Sage is aware of this error, but through all of the releases to before 2.19.4 it has not been addressed.  I have not had the opportunity to check the 2.19.4.

    I'm working a 2017 to 2019.4 UG now and the hire date did migrate.
    I can't see any issue with the block size as it was unchecked previously

    They might have got the Block size addressed in this latest upgrade.

    This was the first upgrade using the 2.19.4 and I could not understand why the Hire date did not populate.  Maybe just an isolated event.

    We ran into an issue with update 4 trying to convert a company with Direct Deposit and the payroll will not run with an error

     You are processing payroll using a "blank" pay cycle. even though they are the correct cycles.  There appears to be no issues in conversion and setup.  This only appears to be happening if direct deposit is enabled.

    I am running into issues where a code or DD info was blank in a prior 2017 payroll. I’m not sure that the conversion utility allowed me to fix it on import.

    It did get flagged via the utility though it’s a pain with larger sized payrolls especially if they also have multiple companies. I feel like I’m playing whack a mole getting payroll converted and tested.

    That is what I ran into also.  They said that you must have the direct deposit box checked in Employee maintenance and the data must be populated in the direct deposit setup under Employee Maintenance.  The fix to our problem was to enter in the Hire Date which did not come across during migration.

    Just got a call back from Sage stating they are aware of the error and they are working to come up with a Hot Fix.  Apparently there have been 6 other cases that can't pay their employees via Direct Deposit.  I was told the developer for that section had pinpointed where the error is coming from, now has to come up with a solution.

    Thanks for the info @Walter Markle.  We must be one of the 6 you mention.  This client has 8 days before the MD enhancement for additional multiple local taxes must be renewed on the legacy payroll.  We are trying to help them avoid that since it is not needed on PR 2.0.

    Another question.  Is this just an update 4 thing or does it apply to update 3 with direct deposit as well?  We have another upgrade with direct deposit this week for which we could convert to update 3 and then apply update 4 and fix when released.

    From talking to Sage it is a .4 issue.  I have done several upgrades with .3 or before and did not have an issue.

    I'm sorry but I'm not catching what the showstopper is here ( and am wondering what I'm about to find out ).

    Is the customer not able to change the hire date or add direct deposit info?

    It is not a showstopper.  Yes they can enter the hire date, but what happened is that their system would not let them proceed in the processing of payroll without having the hire date entered. It was still receiving error during the direct deposit process which Sage has confirmed is an issue with update 2.19.4, so I am not sure if the absence of the Hire Date was the issue.

    It was just items I wanted to bring to the attention to watch out for during the migration process.

    No they did not give me a time frame, but it is holding up 6 cases from processing payroll so she said it was at the top of the list so hopefully in the next few days or sooner.

    We had to install .4 for EEO update and now client is doing PR and the breakout for their DD is showing 0.00.  We looked and the employee does have a hire date.

    On the DD stub, one particular employee has $$ going to 3 separate accounts and the account description is blank and the dollars for the three separate lines show $0.00.

    Is this what you guys are seeing too or is this possibly something different?  We are unsure what will happen when the client tries to create the ACH file.

    TIA - Pam

    This is the direct deposit form issue from the last release when the ability to print employer contributions was added.  If their direct deposit form isn't modified then create a new form.  If the form is modified then you need to modify the formulas.  There was information posted about 2 months ago.  Let me know if you aren't finding it.

    Cause
    The issue was caused by the inclusion of Employer Contributions in the DD stub printing PR2.19.3.
    There is no data corruption or missing data.
    If the DD stub had been modified the standard stub was updated with the update and no issue will exist.

    Resolution
    To work around the issue there are 2 options:

    Option 1

    Print Stubs using the "Standard" form code. If the standard form code has been modified see Option 2

    Option 2

    Click the Designer Button on the Direct Deposit Stub Printing Dialog

    Click The Field Explorer button from the Crystal Designer Tool Bar

    Expand the Formula Fields node

    Scroll down to LineAmount

    Remove the existing formula and replace it with the formula below - Click Save and Close

    Select case {PR_CheckPrintingWrk.LineType}
    case "1" ' Earnings code amount
    formula = {PR_CheckPrintingWrk.EarningsPayAmt}
    case "2" ' Tax amount
    formula = {PR_CheckPrintingWrk.TaxAmt}
    case "3" ' Deduction amount
    formula = {PR_CheckPrintingWrk.DeductionPayAmt}
    case "4" ' Employer Contribution amount
    formula = {PR_CheckPrintingWrk.EmployerContributionPayAmt}
    case "5" ' Direct deposit amount
    formula = {PR_CheckPrintingWrk.DistributionAmt}
    End select

    Stay in Formula Fields

    Scroll down to LineAmountYTD

    Remove the existing formula and replace it with the formula below - Click Save and Close

    ' Year to date amounts
    Select case {PR_CheckPrintingWrk.LineType}
    case "1" ' Earnings amount
    if {PR_CheckPrintingWrk.PrintEarningsPayAmtYTD} = "Y" then
    formula = {PR_CheckPrintingWrk.EarningsPayAmtYTD}
    end if
    case "2" ' Tax amount
    formula = {PR_CheckPrintingWrk.TaxAmtYTD}
    case "3" ' Deduction amount
    if {PR_CheckPrintingWrk.PrintDeductionPayAmtYTD} = "Y" then
    formula = {PR_CheckPrintingWrk.DeductionPayAmtYTD}
    end if
    case "4" ' Employer Contribution amount
    if {PR_CheckPrintingWrk.PrintEmployerContribPayAmtYTD} = "Y" then
    formula = {PR_CheckPrintingWrk.EmployerContributionPayAmtYTD}
    end if
    case "5" ' Direct deposit amount
    formula = {PR_CheckPrintingWrk.DistributionAmtYTD}
    End select

    Stay in Formula Fields

    Scroll down to LineDetailDesc

    Remove the existing formula and replace it with the formula below - Click Save and Close

    select case {PR_CheckPrintingWrk.LineType}
    case "1" ' Earnings code description
    formula = {PR_CheckPrintingWrk.EarningsDesc}
    case "2" ' Tax description
    formula = {PR_CheckPrintingWrk.LineTaxDesc}
    case "3" ' Deduction code description
    formula = {PR_CheckPrintingWrk.DeductionDesc}
    case "4" ' Employer Contribution description
    formula = {PR_CheckPrintingWrk.EmployerContributionDesc}
    case "5" ' Direct Deposit Bank description
    formula = {PR_CheckPrintingWrk.DirectDepositBankDesc}
    end select

    File Save

    Exit the Crystal Designer.

    Direct Deposit check amounts and direct deposit YTD will now print on the forms.

    these were emailed to my colleague who was one of the ones to create a case with Sage.  No documentation to go along with it.  other than this:

    We have identified the issue and have released a fix.  I apologize that you had to go back to 2016 to process payroll.  If you have already done the setup in payroll for tax groups, tax profiles and tax rules, there is a way to save those settings.

    Before remigrating the data and the system files, copy the files listed below out of the MAS90 folder. Then after migrating, rename and replace with the files you copied out.  This should allow those settings to be retained.
    PR_SpaSyncAudit.m4t
    PR_SpaSyncControl.m4t
    PR_TaxAatrixPIMIdentifier.M4T
    PR_TaxCodeProperty.M4T
    PR_TaxCodeSubjToCache.M4T (Only available after PR 2.19.1)
    PR_TaxCompensationTaxRule.M4T
    PR_TaxDataHash.M4T
    PR_TaxDeductionTaxRule.M4T
    PR_TaxFilingStatus.M4T

    Those were the pre-released version of the files

    Option #2
    • Call Sage support to request pre-release programs
      • Once you receive pre-release programs, exit out of Sage 100.
      • Browse to the ...\MAS90\PR folder and rename existing files (PR_PayrollCycle_ui.pvc and PR_PayrollCycle_bus.pvc) and replace with pre-release program files sent to you by Sage Support
