    I have been asked to quote converting QuickBooks payroll to Sage 100 payroll.  I tried to talk them into waiting until January 1 to go live but they want to get it done ASAP.  They want "all payroll history" converted to Sage 100.  Does anyone have experience / recommendations for importing payroll data to Sage 100.  What's the best method of populating history tables?  I hope it doesn't entail creating payrolls for the last 10 years!

    They really want 10 years moved over?  Gutsy!!!  How many employees?  I tend to explain to clients that there are boatload of tables in PR that must stay synchronized and that it is more economical for the to keep the old system active for look ups. Quote them a big number to discourage this folly.

    That being said, I have migrated Sage 50 to Sage 100 mid year.  I consolidated history into one entry per quarter and imported to payroll data entry for the first two quarters.  Very workable for 30 employees.

    Twenty employees.  I definitely don't want to have to import every payroll into data entry. I agree @Jeff Schwenk, I am going to have to get a compromise on the number of years of history, and the quote is going to have some significant contingency amount built in.

    So how would you go about importing history into payroll?  recreate each check with manual taxes via import?  One "check" per year with annual totals with manual taxes via import? Can't imagine any scenario where this would have a good outcome.

    20 employees??  Is this currently active or over 10 years??  Betting there are more unless this has been voted "best place to work" for the past 10 years.....

    One import per year could be doable, but then what is the point of the exercise?

    They have agreed to only migrate 2019 and 2020 payroll.  I think I am going to go ahead and import every payroll so they have the detail.  As you mentioned @Jeff Schwenk if they import summary by quarter then not sure what the point is except for knowing the W-2  and 941 amounts.

    In reality, how often are clients looking at detail of checks from past years?  isn't it mostly W2 inquiries for anything older than last year?

    @alan niergarth  Not very often.  The only recent example is the detail was needed for PPP loans because only the first $100K of salary is included in the calculation.  Let's hope that's a once-in-a-lifetime occurrence! My recommendation was to import the detail for 2020, and we compromised on 2019 and 2020.  They are paying for it, so I'll do it if they think they need it.

    If I had a dime for every time I’ve been asked to “quote” and then never heard from the company again.

    My .02 - quote totals only import for current year only or let them lure some other consultant into this task.

    Expire this well in advance of 12/31 unless you’re looking for something to do over the holidays and year-end.

    @Wayne Schulz  Payroll is one piece of a conversion of AR, AP, SO, PO, IM, and GL from QuickBooks to Sage 100.  The proposal is good, better, best value pricing.   I'm trying to determine how much value they perceive with payroll history prior to 2020. 

    I almost always recommend cutting the cord on the previous system.  Once live on Sage 100 users shouldn't be able to access the "old" system.   So, it is important to understand the business need for migrating history so the value can be determined.  Payroll is particularly tricky because it can't be imported with one pass of the data.    ​

    Not counting current activity needed for year end W2s, why not provide an option for Payroll History Report with static data?  Use a spreadsheet as the Connector to Sage Intelligence then write a Sage Intelligence Report that could run by year, date, employee or whatever parameters they may need.  In the future if they need to run a payroll history that includes PR from Sage 100, you link the Excel QuickBooks data with Sage data.  Make sure you have a 'key' in the static QB payroll data connector that can link to future Sage 100 data.

    That's a great idea Moira.  They would eventually have to buy an additional connector to link the future Sage PR data, but that's a drop in the bucket compared to the cost of importing it.
