  • 1.  Payroll ACA Reporting Setup Process

    I have a customer that wants to start using Sage 100 Payroll ACA Reporting.  What's the process to set up ACA Reporting?  I read a Sage KB article however it is confusing / unclear on the steps to get ACA up and running.

    ACA is time-consuming.  There are imports from Sage available, but creating the format they want is also time-consuming.  It would be glorious if they had a "Copy from Prior Year" option for setting up the employee files each year....  But you didn't ask about all that.  :-)  

    You have to setup ACA Employee Maintenance for each employee, ACA Employer Maintenance (and I'll tell you right now to save the year, then pull it back up and change the option re 1095 B or C to whatever it's NOT, save it again, then put it back to what it should be and save again - just trust me), and you need to run the Large report and update it to give you the number of FT employees needed in the Employer file. Point them somewhere else when they ask what options they should pick for the employees Offer of Coverage, etc.  Hopefully they already know the data needed and they're just looking for an easier way to get it together.

    Adding to Beth's comments, make sure you fill out the "Plan Start Month" as that's one of the common mistakes that is made in our client base.  Our clients' largest questions come from what codes to put into the Offer of Coverage and the Applicable Section for Safe Harbor.  I typically point clients back to their insurance carrier to answer those questions, but I also send out this slide which helps with the codes to use for both the Offer as well as the Safe Harbor.

    I have a client using Evolve Management (reseller in WI) to help with ACA reporting.  Depending on the number of forms, it may be worth a phone call to them

    Thank you @Beth Bowers!  And you were spot on with going into Employer Maintenance, changing the form code, saving it, then changing it back.  You would think in all of these years that we've had to do ACA Forms, that would be fixed by now...but it ain't!

    I submitted the ACA Employer Maintenance fix a couple of years ago when payroll was looking for some quick fixes and it was fixed. To my knowledge, I don't think we have had any support cases for the issue since.

    @Shari Eckersley, like @Beth Bowers, I have learned to just do the ACA Employer Maintenance Fix (by changing the form back and forth) because I am unable to isolate when the ACA Form is going to come up blank versus when it is populated.  I print a lot of ACA forms for our clients every year, and even this year, when I ran the first forms and forgot to change the Forms in Employer Maintenance, my ACA screen came up blank.  (It's a learning curve for me every year!)  It takes much less time to do the Form Change than to launch the ACA Screen, fill out all of the employer info that Aatrix needs, and then find out that the ACA screens come up blank.  All of our Payroll clients are on the most recent version so I'm not sure why some ACA forms have data in them, versus when they'll be blank.  I just don't trust it anymore, without doing that Form change!
