  • 1.  Payroll 2.x Backup Companies Still Needed?

    I believe there is no need to create backup companies in payroll 2.x

    Can a user print:

    - W2
    - 941
    - State Aatrix forms

    After 12/31 even if they haven’t printed any of these prior to closing?

    Is there anything extra that users still should do before closing payroll ?

    Are you required to close the year prior to running the first payroll in the following year? Best practice to close periods. Just asking if it is required. Can you run a payroll in 2020 and then close 2019?

    This was discussed under another post.  Run YE to reset your limits, etc (as Nancy indicated above).  Supposedly, all forms in question will run for 2019.

    Found this in the online help: 

    Quarter-end and year-end processing is required to ensure that the events listed below occur.

    The following happens during quarter-end processing:

    • The current quarter set in Payroll Options is advanced to the next quarter.
    • Time off accrual values are updated based on settings in Payroll Options.
    • During year-end processing, in addition to the quarter-end events, the following happens:
    • The field showing the employees' year-to-date direct deposit amount is cleared.
    • Terminated employee records are removed from the employee file if there is no history associated with the records.
    • For pension plan deductions, if the Reset Balance at Year End check box in Deduction Code Maintenance is selected, the deduction balance is reset to match the deduction goal amount. Otherwise, the goal is set to match the balance. (The deduction balance is calculated as the deduction goal less the accumulated deduction amount. If the balance is zero, the deduction is no longer applied.)
    • If an employee has no history for a deduction, the deduction is removed from the employee record.
    • If Calendar Year is selected in the Reset Time Off Based On field in Payroll Options, employees' unused time is carried over to the next year (up to the Caryover limit set in Employee Maintenance).
    • History records, including Time Track Entry history records, are purged if they are older than number of years for which Payroll history is retained. The number of years to retain history is set in Payroll Options.
    • The current processing year set in Payroll Options is advanced to the next year.

    Sage has updated its year-end processing page for Sage 100 though it does not address the issue with Payroll 2.x of what exactly must be done ( reports, tax forms, etc ) prior to closing out the year and what can be done after the year-end.

    It seems easier to install a TTU each year than to have to install payroll upgrades and bug fixes.

    I do think Sage reached a point where tax complexity exceeded what can be done with the standard legacy type payroll TTU. The challenge now is that Sage has a poor support infrastructure ( broken KB, fragmented notification system) making it very difficult to provide timely support for their partners in this complex area.

    IMO, today's payroll law has begun to exceed the level of support which should be reasonably expected of the typical non-CPA VAR.

    2.X PR is still new to most people.  Learning curve is extremely steep.  Even for Sage support.  Sometimes it is the blind leading the blind.  I am confident that things will improve but with PR, it is best to get it correct the first time.  Major PITA otherwise.  More issues will be uncovered as more users jump to 2020.  The interaction between PR 2020 and Sage HRMS has never been the greatest and I fear the worse with that link.

    Life would be so much better if there was a place where you could drill into the help files and really understand what is going on.  I sense Sage is only slightly less in the dark on how things work than we are.
