Paperless Office Links Broken

  • 1.  Paperless Office Links Broken

When upgrading a client after a test installation and final conversion of data, our techs had to delete the company code (because of Payroll errors) and start all over with the conversion.  Now the links for Paperless Office are broken and we can't import into the MAS_System\PL_Journal, Report, Form log files.  We can see that that pdf's are all still out there - does anyone know of a way to "reconnect" the Paperless Office links without manual intervention?  (We tried importing into the PL_Journal but that's not possible...)

I had this happen when trying to copy a company, having to delete the original.  Anyway...I had our internal programmer write me a script/program to change the company code in the PDF Logs.  I exported them, gave him the new company code and it was magical!
Do you have access to a programmer to create this magic?

Thanks @Nancy Hanson.  I was very much afraid of that – that it would have to be done programmatically.  Bummer!

I should have added that the company code is the same so our situation is a bit different.  But I still think we'll have to do something programmatically to change the mapping unless someone else has already done it.

Paperless Office uses the company key instead of the company code, so if the key changed then the records are not visible in the current company. You should be able to use the Paperless Office Log Change Utility floating around here to change the path to also change the key. I believe the utility just looks for a string to change in the log file. It's worth a try.

Thanks Bill Pfahnl.  We do use that utility for almost every upgrade, and to clarify further, our problem is/was that we normally migrate the system files, which brings over all of the Paperless Office items.  Unfortunately, because of errors, we had to delete the company code we were "testing" in, and then migrate their data again without said system files.  What we're missing now are records in the PL_JournalPDFlog.M4T, the PL_PeriodEndPDFlog.M4T and the PL_ReportPDFLog.M4T.  We can't import into those files, so it sounds like we need a programmer to help us out.  True?

Got it. Sorry, I misread the issue. So, there's a way to make tables visible to VI hacking the data dictionary. Is that an option? Also, I also do not re-migrate system files after the pilot installation. I just manually copy the three system PDF log files over to the new installation and they just work. The DD for these files have not changed since 2014 I believe. If the logs are complete in the original installation, then this could be an option.

I don't think you have to copy those 3 log files manually anymore.  When you migrate company data, it automatically remigrates the relevant log records from those 3 log files in \MAS_System\PL .....

I'm confirming Robert's response. When you migrate company data it brings over those three PL logs from mas_system. If during your pilot you've changed the paperless paths in setup to new paths, you will need to change them again.

Thank you @Roberta Chase and @Robert White. That's great to know. However, I'm still in the migrate once clan. After the pilot migration I only copy  the company folder and re-convert.

@Bill Pfahnl , That was my preferred method but I thought no longer viable because of the new encryptions.

@Roberta Chase what is the impact of encryption on eliminating the need to remigrate system files for a final conversion?  do the three files discussed above not come over with the migrate company data only function?  We've been remigrating system files with paperless office in play and it adds extra work for sure. Would be nice to just bring back over company files and know that paperless office is included.  of course, if the paperless folder is moving as part of the upgrade we would still have to remap the file locations.

@alan niergarth  As far as I understand from the materials Sage put out, we can no longer copy and paste the MAS_xxx data because of the encryption. However, if we re-migrate companies for go live, the three log files do come over again without also needing to remigrate the system files.  It also will overwrite the "new paperless paths you might have put up, but that's an easy-peasy fix.

I could be wrong but I thought the encryption issue occurred if you did something like this:

On your personal computer you create a company code ABC
Then you go to the CLIENT computer and copy their ABC to your personal computer ABC
In those cases the encryption key doesn't match unless you copy/paste that key in company maintenance from client to your personal computer

If you migrate ABC from v2019 to v2020 on the client computer/network
You should still be able to pull over just MAS_XXX on the client computer/network

I thought the problem was if you tried to pull that data over to a Sage 100 that was not originally created by migrating data?

I think there were prior posts on this but am not 100% and happy to be proven wrong and update my notes

    Wayne,

That is interesting because, like @Bill Pfahnl , the copy and paste method was my preferred and easy method (remember to copy and paste the log files, too) prior to V2019 and V2020.  Sage told me "do not use copy and past any more--use migration."

I've been using the data only re-migration for V2019 and V2020, and have not been displeased now that it also copies the system PL log files.  If you are going from an older non-encrypted version to a newer encrypted version, do you do the same "copy and paste" as if you are going encrypted to encrypted. as in your example?
