  • 1.  Maximum number of transactions in a data entry file?

    Posted 09-08-2020 12:36
I have a customer who just asked:

Can you let us know where we'd find the maximum number of transactions for things like AR Repetitive, SO Invoice Data Entry, AP Repetitive Entry, Recurring JE, etc.?

This is an interesting question. I'm tempted to say that there aren't any limitations but I'm not sure if that's accurate. I quickly searched Sage KB without luck. I looked at the file layouts and there doesn't seem to be any field that would restrict the number of items in a data entry session.

Anyone have another resource or recommendation on how to answer this question?

Do they mean maximum number of transactions in a table, or maximum number of concurrent processes?  If they mean maximum number of concurrent processes then it depends on the Windows heap size.  The attached KB might help.  The heap size is the amount of memory being allocated to the processes being run. So, the maximum number of processes would depend on the amount of memory each process uses.  I believe sales order entry uses comparatively a lot of memory.

Header entries or detail lines?  Thinking about the way back machine, I recall someone burping at 9,999.  I probably would go with 999 to be on the safe side.  Is this a theoretical ask the professor question or is this a real world "we import a boatload of transactions everyday" would like to know where the edge is?  Did @Beth Bowers encounter this one time or was it @Mark Chinsky?  Or neither.  Just trying to get back into the "next holiday is Thanksgiving" mode.

If it's the maximum number of transactions in a data entry table then it depends on the mask of the line key.  For example, in sales order detail the line key mask is "000000" so the maximum number of records is 999,999.

I believe what they're asking is if there is a limit to the number of unposted invoices that can be in a data entry file? Same question for unposted recurring entries, AJE, etc.

I can't think of any such limit.

@Wayne Schulz  There's a line key on every record in the data entry detail file.  There is a limit based on the number of charcters the line key can have .  If the line key field can have a maximum of six characters then the maximum number of unposted records is 999999.  Look at DFDM for the table and verison of Sage 100.

Don't just focus on the technical data field limit, also consider the practical limits.  We had a customer (an ISP, now converted off Sage 100) where they processed monthly invoice batches in the many 1000's (with lots of usage line data per account), and it took hours to print the journal, leaving it to Update overnight (praying it didn't get interrupted somehow).  If you are doing massive batches, a posting process that takes 12+ hours might be necessary... (even with good hardware running Premium).
We had another customer converting to Sage 100 (retailer, after an ownership change), wanting to bring in overly detailed GL history from Oracle... millions of rows.  It was not going to happen through a posting process due to the time that would have been required... (so I wrote the data directly in SQL... the only time I have ever done that).
