  • 1.  Match Posting Date and Invoices Dates in a Batch (Script or Mod)

    HI 90 Minds Community,

    I am so honored to be a part of this group.
    Here goes my first post - I am sure this issue has been raised in the past but with over 5k entries I figured I would ask again.

    My client is currently running into the aged old issue of invoices with incorrect posting dates.  We have tried with the settings but that does not seem to help.
    Has anyone written a script or mod that checks the batch before it is updated/posted to confirm that the invoice dates are in the same month as the posting date?

    I don't think this has been asked, and I think it's a great question. I have a few customers whom I believe would be of benefit.

    I'm sure one question is how you control the posting date since I think that can be set when the register is printed and updated. I could enter an invoice, and the invoice date could match the currently set accounting date in AP, but when I update that register, it will ask for a posting date again ( which defaults from the current accounting date in AP).

    So perhaps the logic is to check that the invoice dates in the AP invoice data entry match to the current posting date period (or disallow posting).

    Yes Wayne, and would love to have this for AP and AR/SO.
    When running the register/journal you have to select the posting date upfront - so it would have to check against that date.

    Thanks Doug, I have tried everything to stop them from posting but nobody reads or even looks at the reports :(

    Any suggestions/ideas for a script or mod?

    Displaying the "OK to Update" or "Do Not Update"  is an inexpensive method my customer requested after exploring the other options such as custom modifications.  They use paperless office and the PDF of the journal / register auto displays on the screen..  The lettering is either green for OK, or red for not OK, so it becomes quite obvious that the journal can or cannot be updated.  It has been in play for three or four years and has worked well for this customer, but surely isn't for everyone because, as you mentioned, it isn't bulletproof like a custom enhancement could be designed to be.

    Welcome to 90 Minds @Jacqueline Hoyte !  I made some changes to the journals and registers crystal reports to display either "OK to Update" in green font or "Do Not Update" in red font.  Attached is a sample of the sales journal.  I also modified several other journals / registers.

    I was going to say, a modified journal / register could present a warning, but if users don't pay attention... there would be nothing preventing the update.
