  • 1.  Item Warehouse Average Cost

    Hi All,

       Is anyone aware of a way to import average costs into IM_ItemWarehouse?   I understand why Sage doesn't want this done but I have a client with a huge number of out of balance items & they want to do a valuation change. I CAN do it in DFDM but don't want to since it takes so long.   Sort of weird since they use Standard Cost, but they are a new client to us so I don't know the history.

    Hi Bob,

    For the record, I am not officially recommending this. 

    Since the purpose is data repair / inventory balancing, and I assume you've already reviewed the utilities from File / Run / *UTL and the Utilities menu to see if there's another or better way, you can do these steps to remove the ReadOnly flag from the AverageCost field in the dictionary. Don't forget to also update the AverageCost in CI_Item after this. AGAIN there is probably a better way to do this. 

    0. Make a backup of Providex.DDE
    1. DFDM Providex.ddf
    2. Hit the Lookup button
    3. In the ALE lookup window, click the Data column to sort by it.
    4. Scroll down until you find IM_ITEMWAREHOUSE
    5. Note the Key number on the left-hand side Key column. For me it's 000891
    6. DFDM Providex.dde and click the Lookup.
    8. Type in the key number and search
    9. Find the key 000891AVERAGECOST and press Enter
    10. You can now edit Field 20 to change the ReadOnly=1 to ReadOnly=0 or remove it altogether.
    11. If Import Job Maint was already open, close it and re-open it. After that AverageCost should be available in Data tab.

    If *UTL doesn't work I'd recommend Inventory Issue transactions to a suspense account (to zero QoH), then Inventory Recept transactions to bring the quantities back... then GL entries to clean up the suspense account and purchases clearing account.
    This creates a nice audit trail of what was done.  The only reason you wouldn't want to do this is to preserve cost tier data, which is not an issue with Standard valuation.

    HI Alnoor,

      Thanks much.  I think I can get the work done without this (but I truly appreciate the info).  I am going to create a UDT with both the average cost and the total warehouse value.  Then I am going to write a script to update the IM_ItemWarehouse based on the values in the UDT.    I have a version that updates some other read only fields in IM_ItemWarehouse, so it seems like this should work.   Do you see any issues with this approach?

    Hmm I didn't think SetValue would work since it fires off business and dictionary validation (like the ReadOnly flag). In case you run into trouble with that you could try its cousin that does not validate.

    I checked. It definitely does not work to modify AverageCost with SetValue out of the box.

    this is perfect timing.  I need to clean up a few thousand CI_Item.AverageCost values after some testing in a "go live company"; in advance of actually going live next month.  Thank you @Alnoor Cassim for the step by step directions.  :)​
