    Is there any place to prevent users from Shipping quantities that exceed qty on hand through Shipping Data Entry? The feature in Role Maintenance ""Allowed to Exceed Quantity on Hand"" seems to only be for Sales Order Entry not Shipping Data Entry. The users are also able to ship out backordered quantities as well. This is for MAS 200 version 4.5 PU 2.

    I don't see it. Can you elaborate on why this is important? It would seem to me that the MAS on hand quantity is wrong if shipping is finding stuff that MAS doesn't know about. Or is it a case of the product was reserved for another order?

    If I remember correctly, the setting only applies to entering sales orders and not invoicing or shipping. I will look to see if I can find the enhancement request I wrote up a few years ago but I remember thinking it was pretty misleading.

    Quantity on Hand is exceeded in Invoice Data Entry and Shipping Data Entry in Sage MAS 90 and 200 Entry Type: Informational Product:Sage MAS 90 ERP,Sage MAS 200 ERP Application: Sales Order Version Reported: 4.10 Subject: Quantity on Hand is exceeded in Invoice Data Entry and Shipping Data Entry when the Allow to Exceed Quantity on Hand box is cleared in Role Maintenance. Users can still accept or ship an invoice where there is zero quantity or not enough quantity on hand. . Possible Resolution: The option in Roles to Allow to Exceed Quantity on Hand applies only to the quantity in the order column. It does not check the quantity in the shipped column.

    Thank you Roberta, that is what I was looking for. This client would like to prevent users from Shipping quantities that exceed qty on hand, thus preventing negative on hand quantities.

    So isn't the issue really incorrect Qty on hand amounts in MAS? I would think the client would want to know why the counts are going negative when they obviously have items available to ship. If you don't ship it, you can't collect it. And what's worse is that resources are being spent to acquire inventory you don't need! Very wasteful. Then you look bad because MAS is giving wrong information.

    Could be a timing issue but Jeff's point is still valid - if they are shipping something off the shelf that MAS doesn't think is there, someone is not entering a receipt in a timely fashion or they need to have their processes reviewed.

    I have a client that spends an hour each week fixing negative on hand amounts by entering a positive transaction instead of trouble shooting their process. My head no longer hurts when I bang it against the wall but at least they pay their bill...........................

    I have a script that I've sold to a couple of clients that alerts the shippers when there is a potential negative entry, and prevents the item from being shipped until the issue is resolved. If you are interested, let me know.

    Thank you everyone. Yes, in theory the qty in MAS should be correct but at times the receipt of goods may have not been processed potentially causing inaccurate costs when shipping. They would like to catch the error prior to updating shipments. The client may be fine with reconciling the negative tier report on a weekly basis, but I may need to contact Aaron if they are interested in a script to prevent these negative quantities on hand.

    That is my point! They should be fixing the ROOT cause of the problem instead of putting a band aid on the back end. Piss off the customer enough times by not shipping correctly or promptly and they don't have to worry about going negative.......................... What are the issues causing the delay in PO receipts? Purchasing not doing their job with correct PO's?

    Yes, ultimately they need to review their internal processes and work flow.

    Sounds like a good project to pitch them. Improve your organization's revenues by drawing outside the MAS box.

    You may also want to set them up on alerts too and monitor the minimum qty on hand field in inventory. That way the alert can ""escalate"" and get the attention it may need.
