  • 1.  Is data accessible after a subscription expires?

    I noted that Sage updated their KB with the following answer to the topic - there does not seem to be anything new in the KB and it outlines what most of us have told clients which is that after a 45 day grace period Sage data becomes read-only.

    It doesn't mention Payroll, but I assume the same rule applies. Can anyone confirm or correct this?

    Summary

    When a Sage 100 subscription expires, customers receive a message about the expiration and the remaining period of full access. After a 45-day grace period, Sage 100 switches to Read-Only mode.

    Description

    • When the subscription expires, Sage 100 displays a message with the remaining full-access period.
    • Customers have a 45-day grace period with full access.
    • During this time, customers can contact Sales to renew their subscription.
    • After 45 days, Sage 100 enters Read-Only mode:
      • Customers can open Sage 100 and view existing data.
      • A message displays that the subscription has expired.
      • You can't change data or new transactions.
      • Reports will run (reports only read existing data).
      • Maintenance screens are accessible, but fields are display-only (like Inquiry screens).
      • Visual Integrator Import Jobs are viewable. The system disables fields and hides the import execution buttons.

    Thank you @Wayne Schulz  I tend to recommend they reduce to user count for the first year after they leave Sage 100.

    View Only really means view only. I had a client that switched ownership and none of the Sage 100 users were still on staff. They knew the Sage 100 Administrator Pw but did not have a regular Sage user login/PW.  They could log in as Administrator but could not create a new user since it was view only. We helped them by taking the user table to our install and copying the admin PW to a user so they could actually log into Sage 100 and do inquiry and reporting. But it was a lesson learned, even role maintenance is view only if I recall.

    @David Overholt not something I considered; that they can't even add new users.  Hmm.

    I have 2 customers that moved away from Sage100 over a year ago. Out of curiosity, I logged on today to take a look. Oddly, I was able to add, delete, modify and do everything else. On the registration screen it still has their original user license count, but the Subscription Expiration Date says 12/31/9999. Maybe the View-Only has not kicked in yet for them.  ???

    I have only seen that expire date when the client was on Maintenance (perpetual maintenance with the annual renewal).  If they were on subscription, I would expect it to reflect the old prior subscription license date.  Were they on Subscription, because that seems odd to me too.

    @Madeline Stefanou Yes, they were on subscription for many years prior to switching away to another software
