  • 1.  I have a customer who want's to add an expiration

    I have a customer who want's to add an expiration date to the Exemptions grid found in customer maintenance or ship-to maintenance. We can add the UDF to the table but we get the following message when we try to add the UDF to the grid. Is this a bug (found in vs 2014 and 2016) or a feature?

    I had used a UDF on main customer screen called exempt year and would place the year that was on file. Then used memo codes like ST105 and put a reminder date to notify somewhere before the end of the year to prompt to ask for new form. Then you can just change reminder date for next time frame once you have the new form on hand.

    This is timely as I just had a customer ask about tracking sales tax and I suggested they need a way to track exemptions with a date for expiration.

    We are going to move forward with tracking exemption expiration dates at the customer and ship-to address level. However, the client has customers operating in states that have different exemption certificates at the state and county (or parish) level and therefore need to track them at the tax code level. Since they never have more than two expiration dates per tax schedule, we will add a second UDF at the customer and ship-to address level to address the need.

    My customer swore up and down (at least until audit) that one exemption was good enough for them to blanket not collect tax anywhere. I believe they are incorrect and likely will face a surprise upon audit.

    Tax at least I can verify for IN and MI is based on ship to location, not bill to. If you don't have Nexus with the ship to state (say it was IL) you are not supposed to collect tax and it would be customers obligation to report it as use tax (if requirements were not met for exemption). Just went through this last summer with a client. Bottom line of an audit, if it was to be taxed and you can't go back and collect it from your customer, you will have to pay it. They do want certificates for the audit years, but if you get a nice auditor they may let you get away with only having the current one.

    @WayneSchulz tax exempt certificates are usually issued at the State level. However, in some States you have to get one from each tax authority (city, county, state, etc). Certificates are not transferable between states. Additionally, they don't exclude the purchaser from paying use tax on goods purchased for resell and then consumed internally or used under a prepaid service agreement with a customer.
