How To Speed Up Paperless Email Forms

  • 1.  How To Speed Up Paperless Email Forms

From a customer on Sage 100 Advanced 2018.10

To process a batch of 300-400 invoices it takes 23 seconds per invoice on average. We have 6 batches of 300-400 invoices for a total of 1800-2000 invoices that we process at the end of the month for billing, so that task takes Sage 13 hours total to complete if someone is actively monitoring it so they can submit the next batch after the one before it completes.

They believe the bottleneck is emailing the invoices. Has anyone found a way to speed this up for large volumes?

We had a customer who was an ISP with an insanely large month end invoicing cycle.  For them printing / posting the sales journal was done overnight because it took so long.
Invoices were generated by Visual Cut (not Paperless) after posting (and I can't remember how long it took... I do remember needing to implement an email throttle to make sure they weren't put on an email blacklist).

For yours, having them work directly on the Sage server is the only thing I can think of to speed up Advanced printing.  If the email sending is the bottleneck, a local SMTP relay may help offload that from the Sage task.

Maybe try dividing the invoices into smaller batches.  You could start the batches on different workstations.  Since printing is local, the processing could then be divided amongst multiple computers.

We have a couple of clients with large posting volumes and email is definitely the delay point.  Our fix was to offload email delivery to Sage Alerts and Workflow to speed up the process.

It's been a while since I've looked at this, but I believe the Paperless Invoice is still generated and then a duplicate is replicated in SAW for emailing. Shifts the delivery burden to SAW and eliminates the email from Paperless.

If you need more details, let me know and I can get the specifics.

We used SAW to get around this issue a few years back.  We were able to configure the email addresses used from the paperless email address table.  Didn't bother with creating a paperless invoice PDF, just recreated using a Crystal template pulling from the AR Invoice History table.  Huge time saver.

What about a Scheduled Task in Sage 100, set it to run overnight?

I can't see where a scheduled task would support invoicing. The scheduler seems capable of running either registers or reports.

I know this is a 1.5 month old post.  I have a client that is seeing the printing for 100 invoices taking 25 minutes through RDP from home and 45 minutes through RDP at the office.  (Yes I said that correctly).  Am I hearing 25 seconds (20-30 seconds) per invoice is our benchmark.  SAW is a performance alternative or live with 25 seconds?

Try not sharing printers with the RDP session.  That may be disabled from home, but active from the office, explaining the difference.

Bringing this up again since I've since had one or two other customers ask nearly the same question ( about how to speed up form printing ).

My question is how difficult is it to re-create the invoice form outside of Sage Invoice Printing?
Were you able to re-use the existing form and just remap fields to the AR Invoice History or is this a total re-write?

If anyone has any copies of invoices to share I would love to see them

We had a client a client with this situation five + years ago.  Paperless was a real dawg and they struggled sending daily invoices.  So we used Sage Alerts along with Access to generate and send the invoices nightly.  We even used the information in the AR_CustomerDocumentContacts.M4T table as the basis for our addresses.  Worked well.  We created a WRK table in Access mapping the Crystal form to that table.  Worked well.  Was it easy?  It wasn't hard for my Access guy since we use Access and Sage Alerts regularly.  It WAS much faster!

Thanks, Jeff. I wonder if there would be enough demand for a developer to come out with some type of enhancement that did all this behind the scenes and saved the heavy lifting of creating either a shadow work table or redesigning the report to run off the AR History. They could sell it as "after hours invoicing"

Interesting idea!  If you suggest it on the Sage Idea (where they are left to die) suggestion site  Let us know so we can pack the ballot box.

Short of that, we can assist if end user has Sage Alerts in place.  We would supply the Access database to build the WRK table.

I'd like to see an auto-print-deferred feature, where the user chooses what they want to send out (print to a deferred list), and we set up a schedule to process the chosen output (using proper forms / Paperless settings...) after hours.

    Edit:
The biggest issue with external reporting is selecting what to go out / report filters.  We've done this many times for order confirmations and shipping confirmations.  Each customer has their own business processes so a generic one sized fits all filter (date updated for invoice history, date created for SO...) is hard.

One comment that was a bit under the radar.  Did you try timing the invoice batch by running directly on the server?  We had issues with one client PR checks when running 200 to 250 direct deposit checks & emails from the workstation taking much longer (and sometimes timing out) than running the print job by logging into Sage on the server. Time running on server was acceptable, time on WS not.
