  • 1.  How Not to Accrue Payroll Time Off

    What's the best way to issue a paycheck / direct deposit without accruing time off for an employee that usually accrues time off?  Set up a an earnings code exactly the same as regular earnings that doesn't accrue time off and use the "no time off accrual" earnings code?  Is there a better way to do this?  Is there a check box or something in payroll data entry that I am missing that would stop the accrual?

    Why is this happening?  Bonus, retropay, etc?  Is the PTO accrual based on hours or checks?  If based on hours, you can process the earning code without any hours.  Pay flat amount.  If based on a check, access the code in maintenance, modify the check entry number by removing the 9 for check number.  Then process the check payment as entry # 9

    @Jeff Schwenk  Thank you for the reply.  I am going to test your solution. This is happening for several reasons, including bonus, commissions, retropay, etc?  PTO accrual is based on hours and checks depending on the time off code applied to the employee.?

    Set up an earnings code that is not set to accrue vacation/sick.  Clear the check boxes in earnings code maintenance.

    @Thomas Rogers  That's basically what they do now.  Every employee is assigned a time off code.  If there is a payroll check that shouldn't accrue time off then they remove the time off code in Employee Maintenance.  The issue with that method is they have to remember to put all of the time off codes back after the payroll.  Time consuming and subject to error.

    @Thomas Rogers  To expand on my previous reply... You are correct.  It's a lot easier to uncheck a box in time off maintenance then it is to remove the employee maintenance time off codes and then have to remember to add them back.

    Not sure if you understood my suggestion.  You don't need to do anything to the time off codes in employee maintenance or in time off code maintenance.

    You just set up a separate earnings code that is not subject to time off accrual and use that whenever you need to pay without accruing time off.

    @Thomas Rogers  yes.  Got it.  A common one is commissions.  I have advised them to set up a commissions earnings code that is exactly like standard earnings except the accrue time off box is unchecked.
