Here is the proposal I received from the Embassy Suite. Highlights: 90 Minds would Guarantee 13 rooms for Thursday, Friday, Saturday night at $149 per night. (Note this rate includes in-room Internet access normally $11 per night) Meeting Room Rental: Meeting room rental is based upon a sliding scale of both sleeping rooms utilized per night, The La Jolla Room usually rents for $850 per day. With the outlined group block above, meeting room rental will be reduced to $500 per day. Meeting room rental includes drop down screen, tables, chairs, water service, pens, pad, and mints. Note the room would be setup in a classroom style with 30 seats with power outlets. Room would also include full internet access. There is normally a charge for this but included based on the above room guarantee.. Let's discuss? . Shall I sent up a conference call?

Have we thought about meals ? Do you know if the hotel allows us to bring in lunch? This sounds good to me. Based on responses from vendors last year it seems we might be able to cover most costs through selling sponsorship. The only downside is we must give up an hour or two for them to pitch to the group. We could have Platinum, Silver, Bronze levels and maybe charge $1,500, $ 800 and $400 - just making those up. For the top level maybe they can send someone to the conference like ITA. Just some ideas

I'm in the office today 9/18 if you want to have a call. We should probably solicit agenda ideas so people have an idea what they're committing to.

Another question is if there is a discount available if the room is prepaid. Last year on the web site, you could save 10 - 15 per night by paying in advance.

Maybe a missed something but was there a reason we couldn't use your DSD training room again this year?

Transportation issues, space requirements and convenience. I believe it remains an option.

@Jeff, the difference isnt as big this year and that won't included free Internet .

Plus 90 minds has to guarantee at least 13 rooms . We can go less but the meeting room will cost more

What we might run into is that some attendees might double up to save on costs, just to keep in the back of back of our minds....

Agreed. The minumum number of rooms would be 10 but my guess is our meeting room will go up to 650 per day

I did talk to them about meals. If we cater a lunch it is a minumum of 39 a piece. Although we could order in advance off an menu and the cost is around 15 a piece. We could walk or ride to mall across the street. The mall has a completely remodeled food court.

My biggest concern with this is meals. When you are in the hotel they pretty much control everything that you can do to save any more money. And if we're going to all get up and leave for lunch - that would negate the ""cuts down on travel time"" savings of the hotel.

@PeterWolf should we explain that we are under daylight savings time and that EST = CDT?

  • 30.  RE: Here is the proposal I received from the Embassy S

    Posted 09-18-2012 15:36
You just going to confuse him Peter the conference call is at 7pm Chicago time.

  • 31.  RE: Here is the proposal I received from the Embassy S

    Posted 09-18-2012 15:59
EST is not CDT as far as I can tell. Illinois is currently 6:00 and people on the east coast are at 7:00. How are those equal?

  • 32.  RE: Here is the proposal I received from the Embassy S

    Posted 09-18-2012 16:03
EDT = EST-1 EST = Eastern Standard time EDT = Eastern Daylight Saving time

I see... we're arguing semantics about EDT, EST, CDT and CST. Alrighty. I have other stuff to do with my time. Thanks Jim for arranging the meeting.

@JimWoodhead - I think the embassy dates are off a day. Thursday is really the 14th.
