Has anyone else encountered (and resolved) the issue that Inactive Items can still be added to a BoM and a PO? Client has 4.4 and discovered that the Inactive setting in Item Maintenance only prevents the item from being used in Sales Order. Am I missing something?

It does not allow you to enter an inactive item in PO in 4.5. It DOES let you enter it in BM however. Here's what the help says: Inactive Item Select this check box to make the item inactive. If an item is inactive, it cannot be entered when adding a line in Sales Order Entry, Sales Order Invoice Data Entry, Purchase Order Entry, Receipt of Goods Entry, Receipt of Invoice Entry, and Material Requisition Issue Entry. An inactive item can be entered when adding a line in Return of Goods Entry and Inventory Management Transaction Entry only if the appropriate security is set up. Alternately, if Discontinued is selected at the Product Type field and the item is entered in a data entry task, a message dialog box appears stating that the item is discontinued and asking whether or not to continue. If you click Continue, the item is accepted. Note If an active kit containing inactive components is exploded in one of the data entry tasks listed above, the components will be treated as active.

It makes sense to allow inactive items to be added to BoMs, return of goods and item transaction entry (I would guess physical too). I do not take inactive to mean frozen, I take it to mean we don't sell or buy it. You may still have stock for the item, you may put it into a new part through a BoM and if you did still have stock on hand, you'd want to be able to return it, count it, and/or adjust it.

It is a little confusing the difference between Discontinued and Inactive. Discontinued gives you a warning that the item has been discontinued in SO entry but, like @MoiraGoggin said, you may still have quantities on hand and you are allowed to accept it (security permitting, I believe). Here's the help for Discontinued: Select Discontinued for an item that is no longer available. If a discontinued item is entered in a data entry task, a message dialog box appears stating that the item is discontinued and asking whether or not to continue. If you click Continue, the item will be accepted. Alternately, inactive items cannot be entered at fields where the system checks the selection at the Inactive Item check box. The inactive item didn't even bring up a warning in BM Maintenance. I'd say they didn't think it through completely, but hey, that's just my .02..

Thanks all. The client wanted to make an item obsolete and not allow it to be used again and only kept for historical purposes. I knew about discontinued and inactive, Sage just didn't carry it far enough for this client.

Ah, the infamous Sage 88% solution .......... Put enough glue on so it will stick to the wall, but NEVER go back for improvement in a v2.0 or v3.0 release. The Sage landscape is riddled with examples. Just look at the Idea web site.... Oh wait! Lori does. I understand it is a great inspiration to her.............. Has Sage ever been evaluated for ADD?
