Got a question on W2 reporting and electronically

Got a question on W2 reporting and electronically filing. If you do not have direct deposit turned on you can not get to the email field, so how would you setup for Aatrix to send? It is cheaper to send that way than a paper form from them. If you turn DD on then you mess up payroll entry. Am I missing something?

I believe Aatrix snail-mails the form. They do not electronically deliver W-2s to employees.

I think what Aatrix sends out is an email with access instructions to their website where you can download the w2

However Aatrix does it, I called them and if the email doesn't come in through to the wizard from Sage you can enter it. But if you don't have paperless office setup first, then turn DD on for the employee you can not get to the email field. If you turn DD on that is a whole new set of problems if the person wants a check. He also says they usually have to have a consent form signed. I swore I saw a field somewhere to check ""electronic consent"" but don't know where.

I'm looking at page 42 of the eFiling guide. At the top of the page it says you can manually add the email to the grid or import the email into the grid. Then it says if you want to automatically populate the grid you have to setup paperless office and direct deposit. Seems to be saying the field should be editable. Haven't tested it.

For my client he has 8 different companies that does not use DD and 2 that does, which is why he knows the email came into the form for Aatrix. Kind of a shame if you have to go through all the work to enter on the form you can't have it in Sage100, without turning on paperless or DD

While you do have to have DD on to get at the email address, what if you turn it off (either for each employee or company wide) after entering the employee's e-mail address. With it off, you aren't messing with the DD during payroll. Will Aatrix pull the data this way? I can't imagine only users with DD installed being able to use this feature.

Direct from Sage Support - The email file it pulls from is in Paperless office but only gets developed when Direct Deposit is setup. The only way to do this without direct deposit is to Manually input the emails.

    Certainly well thought through...

The manual says you can import them to the grid?

Yeah @RonGouveia so did Aatrix support say it could be imported, but how do you figure you can do that while in the wizard? Anyone been able to process through the whole thing?

Page 41 of the manual has the steps for importing to a column of the grid once you come to the grid in the process. Not sure if this will be helpful but hope so. That page refers to KB ID 53636.

I need to start reading that guide. I tested and you can import into the paperless email field without having direct deposit turned on.
