  • 1.  Google Drive 'share requests' went directly to me

    Re: the Property Mgmt folder/files I created on Friday, the below two 'share requests' came directly to me (brett_zim@comcast.net) for some reason.  Shouldn't the users have been prompted to 'request access here'?

    When you are the creator of the Google Drive document or folder and a user clicks on that and is challenged to login they will see a "request access" which goes to the creator.

    The request you see will be to grant one-off access to the user -- which is what the group shouldn't allow. Having individual security rights to documents is a long term nightmare to manage as people leave.

    Rather a better practice is to add users to a group within Google Drive. Then that group gets the security permissions.

    Admittedly this kludgy group gathering is the "hidden downside" to using a Google Drive where the members are not already part of the workspace. I'm not entirely sure what other better ( affordable ) options exist since almost anything else requires a login to be created. I don't believe Higher Logic is the right solution for file sharing/knowledge sharing.

    Okay, so it sounds like it's best not to provide specific links, and instead require folks to request the regular/full Content Library access.  But if you do provide a link, it's probably a good idea to include this:  Please first open/review the Content Library ReadMe.  If you're unable to, you need to request access here.

    Hi everyone 

    I am just confirming that this protocol would be the best direction moving forward.  Wayne had brought this to my attention a few weeks ago.  Step one should always be going to the form to request to be part of the group first. The next step for me is confirming the status of membership and adding to the Google group that has access. I will be looping in @Steve Iwanowski to this process.  Otherwise we are managing too many other security permissions by individual document.   

    We have a meeting tomorrow during which I think we should go through and finalize some of these process issues. I have been out of commission for a week at the board retreat so I look forward to catching up.  

    Please let me know of anything else you would like added to the agenda for the meeting or have any other questions in the interim. Thank you so much again for all of your efforts.

    One idea for discussion is should this content be "gated" so that only members with a defined level of activity with the group have access? I increasingly have the same thought about access to the "Urgent Support" area. 

    The group, IMO, has an 80/20 issue which increasingly seems like it is 90/10 where only 10 or 20% of members are doing any heavy lifting in terms of sharing.
