  • 1.  Gmail and Less Secure Apps - You May Need to Re-Enable This Periodically

I have a customer using Gmail for the electronic delivery of statements.  About a month ago they received a prompt that the account login or password was wrong. In reality, what happened was Google required them to enable less secure apps for their account.

They did this here - Account settings: Your browser is not supported. Everything went back to working. Until they went to print statements 30 days later.

Apparently, Google will turn off the less secure apps feature unless you regularly are connecting with an app that makes use of the feature.  This may not be a problem for companies who regularly send invoices via Gmail however for less frequent use you might want to double-check that less secure apps is enabled should a customer who uses Gmail call with a sudden issue that appears as a bad password.

Having a client experiencing paperless delivery issues sending PR DD advices (134) via Gmail SMTP.  During the send phase, the first 10 or so (random each time) will send normally, then Sage wills state skipping the "connecting to smtp" message and only display the email address.  Then both messages will appear, then only the email address.  Client says employees that do not have both lines are not receiving their DD advice.

I requested that they verify the less secure app setting on their gmail account and report back.

    Fingers crossed.....

Someone pointed out that a way around this is to use two-factor authentication ( aka MFA ). When that is enabled you can then get an app-specific password ( good only for the Sage Paperless email login ).  This will not require you to constantly enable less secure apps.

The downside to this is you have to turn on 2FA/MFA and some smaller companies may not want to train their people on how to use 2FA.
