I would encourage them to change the folder structure itself.
Our typical folder structure for saving Paperless is PAPERLESS\CompanyCode\Type\Module\Document where:
PAPERLESS is the root share
CompanyCode is the Sage company code
Type is Register/Report/PeriodEnd/Payroll, etc
Module is AR, AP, GL, etc
and we rarely use Document, which would the module specific documents, like AR Cash Receipts Journal or IM Daily Transaction Register.
