Fixed Assets

  • 1.  Fixed Assets

    Customer wants to know what it would take for me to install the Fixed Assets module.  I haven't installed one in a couple of years.  They use Sage 100 version 2019 Standard.  What's the most recent version of Fixed Assets that is compatible with Sage 100 v2019?   I need to provide a fixed price quote.  What do others charge for installation, configuration, training etc.  Should I base the price on number of assets?

    Hi there

     

    The 3rd party document that sage publishes would show exact compatibility.   I will let you determine the fix price, but I will give you some guidelines (which of course varies by company and how many companies and if there is a data conversion):

     

    1. Installation                          4 hours
    2. Configuration                     4 hours
    3. Training                                4 hours
    4. Consulting                           8 hours (understanding what they want and relating it to Sage FAS)
    5. Data conversion                Varies

     

    I would not charge based on number of assets.

     

    This is only for Deprecation, not Tracking or Planning.

    @Douglas Luchansky  What's the purpose of the "Fixed Assets" Sage 100 menu item?  Is it only a method to conveniently launch the FAS module, or are there some  integration points, such as booking monthly depreciation in Sage 100?  I have requested pricing for Sage Fixed Assets Standard Depreciation, Single User, Standalone Installation​​.  What does "Standalone Installation" mean?

    In addition to being able to launch FAS, it's my understanding the 'Fixed Assets' module inside Sage 100 is primarily for integrating FAS with Sage, both from FAS to Sage for the G/L depreciation journal entries, and for Asset Additions going from P/O and/or A/P in Sage to FAS.  But note, I believe this is only for the non-SQL versions of FAS.  The FAS Premier (SQL) version ONLY integrates via a FAS export and VI import, and for only the depreciation entries.

    @Doug Higgs to expand upon what @Brett Zimmerman said about the fixed asset link inside Sage, clients ask about that menus selection all the time.  The link provides a period end process to import the GL journal entries for Depreciation and directly post after running a transaction register.  It also provides the mechanism to build a cross reference of Asset related Accounts in GL that will be used for posting from SFA.  And unfortunately there is not a direct link for SFA Premier (SQL) and Sage 100 as Brett has mentioned. I will put a plug in for the SFA support staff.  They are like the MAS90 support staff used to be.  I usually budget about two days of interaction with clients to get them up and running on SFA.  Maybe another day for complicated import jobs when importing from another system.

    In addition add 8 hours to get yourself up to speed. I had someone from DSD handle this who was an expert.

    My observation :

    - Customer wants a “demo” aka free needs analysis done live in front of them.

    - IF you know their requirements you’ll probably prep 8-10 hours just to perform the initial consult
    - expect 3-5 straggler “ can you check on this” questions

    - now hopefully they knew the price beforehand because you quote it and someone mentions “doing this in Excel”

    - so all told you’re 10-12 hours into a pre-sales ( which I found Sage no help with ) for a project that may have 25% chance of closing ( ymmv )

    BTW, remove Fixed Assets and substitute Sage Intelligence for my experience with SI as well except I rarely close SI consulting because I’m forced to do it during the “free demo”

    And, yes, all of this is ymmv depending on the customer and your relationship with them. I’d say every one of my FA or SI incoming inquiries go this way.

    Much faster to pay someone to demo for an hour where they can answer every question up front than spend hours preparing.

    Spoiler: in probably 50-75% of my cases the customer “no decisioned” and came back 6-9 months later wanting to start over.

    Thanks @Wayne Schulz and @Brett Zimmerman  @Wayne Schulz could you please let me know who at DSD you used.  I  am not willing to go down this rabbit hole.  It looks like a 0% chance of a good outcome for someone like me who does one installation every five years. ​​​​​​

    I set the expectation up front with the customer that the first 1/2 hour is introductory and anything beyond that is a fee. This will protect you from the customer expecting all sorts of free research etc.

    I don’t think it is reasonable to expect Brad to do these free. I am pretty sure I paid for the consult and protected myself as above by telling the customer that beyond the first call there is a fee which varies based on scope.

    Brad is an ace+ with this. Pay him whatever his fee is and take this off your shoulders. This guy knows his stuff and is worth every penny.

    I would probably eat the cost myself for a good customer and charge for someone who was not an active current customer.

    Also add 4 administrative hours to
    - find current pricing
    - find current info and capabilities of various versions
    - place the order ( Fixed Assets has always been a separate island within Sage )
    - answer questions about whether that free version from EES days is still available and/or part of bundle
    - research with Sage whether the customer maybe has a fixed assets free license and what limits that has in capabilities and number of assets

    Sadly, I’m not joking about all these steps.
