  • 1.  Files and location of Unlocking Keys

    At the 2025 MOTM, there was information on where to change the unlocking keys when installing a new instance Sage 100 and bringing in data from another install registered to another Sage 100 user. (Example a company buys another company, both have Sage 100 and the data all needs to be in 1 Sage install now.)  I have searched the resources and library and I'm not finding the information. @Alnoor Cassim did you provide this information?  I'm remembering this from the Tips and Tricks session.

    I'm working on documenting this - are there any (known) issues to be aware of if one company has enhancements that the other does not? 

    Here is what I have so far - edits/suggestions welcomed: 

    Sage 100 Company Merge Checklist (with Encryption Key)

    IMPORTANT:
    This checklist covers the process for moving one company code from a Prior Company install into an Original Company install.
    If you have multiple company codes to merge, follow this same process and repeat it for each company code you need to bring over.


    Definitions:

    • Original Company → the Sage 100 company you are keeping (the surviving install)

    • Prior Company → the Sage 100 company you are merging into the Original Company


    1. Set Up New Company Code in Original Company

    • In the Original Company install, go to Company Maintenance

    • Create a new company code (for example: NEW)

    • Note: Throughout this checklist, replace NEW with the actual company code you are merging from the Prior Company


    2. Copy the Company Folder from Prior Company to Original Company

    • On the Prior Company system, locate the folder MAS_NEW (or the folder with your actual company code)

    • Copy the MAS_NEW folder into the MAS90 directory of the Original Company install


    3. Activate Modules in the Original Company

    • Log into Sage 100 in the Original Company install

    • Go to Module Setup and activate the modules for the NEW company code (or the actual code you are merging)

    • If the product updates (PUs) between installs are different, allow Sage 100 to run the data conversion when prompted


    4. Copy the Encryption Key (AES Data Encryption Value)

    • Open DFDM (Data File Display and Maintenance)

    • Access GL_Options for:

      • A working company code in the Original Company (for example, LIVE)

      • The NEW company code (or the actual merged code)

    • Find the AES Data Encryption Test value in the working company (LIVE)

    • Copy this encryption value into GL_Options for the NEW company code


    5. Test and Verify

    • Log in to the NEW company code in the Original Company install

    • Verify that key functions work:

      • Posting

      • Reporting

      • Registers


    Final Reminders:

    • Always back up both the Original Company and Prior Company installs before starting

    • Remember, NEW is just an example - substitute your actual company code

    • Do not skip the encryption key step or you may run into access errors

    You also have to ensure the UDF's in both systems match, manually.

    @Brett Zimmerman, this is great documentation! I was sorry that I was not able to attend MOTM this year. Thank you for the attribution on slide 4!. For the sake of clarity, my last name is "O'Lane". And because I have nothing better to do, <SQUIRREL!>, here's some not-too-interesting information:

    The last name Lane has a few potential origins. Primarily, it's a topographic surname, meaning it refers to someone who lived in or near a narrow road or pathway, called a "lane". Another possible origin is from the Old English word "lanu," meaning "narrow," which could describe a place or a person living in a narrow area. Furthermore, it could be an occupational surname, related to the Old French word "laine," meaning "wool," suggesting someone who worked with wool. Finally, it may have Irish origins, possibly from the Gaelic name Ó Laighin, meaning "descendant of Laighean," which could be a byname related to a spear or javelin. 

    I wonder if I should have my name changed from O'Lane to O'Laighean. Nah.
