I predict this won't work - you'll have a litany of justifiable reasons why people might back out. Just make it a non-refundable fee or count on a core of users to commit.

And set this up so the loss of one person doesn't throw the whole gathering into jeopardy. Have a varied schedule with different presenters.

I agree...just charge a non-refundable $ amount. Even if we use DSD's facility, we're still committing to some fixed costs like food.

Non refundable is OK with me. Once I buy the airline tickets, wild horses will not keep me away. The sooner I commit to the airfare, the cheaper it will be...........
